SunSystems provides a number of reporting functions to assist with the management of your debtor/receivables accounts.

You can use the settlement terms function to determine the dates when a statement, debt chasing letter or bills of exchange are printed. The system allows you to define up to four documents per account. The settlement terms can calculate these dates on posting. It can base the calculated date on other transaction dates, for example on the transaction date or due date. You can decide freely which type of document you need. Once these dates are identified, they are used to select transactions for printing on a document.

Statements of Account

It is common practice to send a statement of account to customers on a regular basis, to keep them informed of movements on their account. You can produce statements that also serve as invoices. You can decide whether to include allocated transactions. You may wish to show transactions that have been cleared in the previous period.

You can design your own statements using the SunSystems Reporting modules.

Reminder/Dunning Letters

Debt chasing, dunning, or reminder letters can be designed within SunSystems. The issue of such letters can be controlled using allocation numbers. You might have a number of standard letters of varying degrees of severity. Accounts can be selected, and an appropriate letter produced, depending on the age of their outstanding debt.

Bills of Exchange

A bill of exchange procedure can be maintained within SunSystems. Allocation markers are the main tools for monitoring bills of exchange. The numeric allocation markers 0-9 are used to identify the stage a transaction has reached. The number is incremented as the bill progresses through each stage of processing.

Documents defined using the reporting modules can be printed at the various stages of processing. Document Rules allow you to define the range of allocation markers to include for a document. You can also define a new allocation number setting for transactions, after printing the appropriate document.

Account Listing

Account Listing reports can be produced for internal use and as an audit trail. For each account, this report shows the balance on the account for periods before the start of the selected range.

Transactions that have been posted to periods outside the selected range are excluded from the report.

You can design your own account listing reports using the reporting modules. Example reports are provided in the system.

Aged Analysis Listing

Using Aged Analysis reports you can specify the ageing ranges used to produce the reports to match your credit control procedures. You can print ageing reports using Aged Analysis Listing (REPAAL).
