Assigning business units to financial years

In Financial Calendar Years select the year to be assigned. The Financial Calendar and the Financial Calendar Years must have a status of open before any business units can be assigned.

Note: Business units which are off line, within a store group or archived are not displayed in the grid.
Note: If the Financial Year is created based on the previous Financial Year which already has business units assigned then those business units are already assigned to this Financial Year and are not displayed in the grid.
  1. Select Years in Financial Calendars for the relevant calendar code.
  2. Select Action > Assign to display the Financial Calendar Assign Business Units form.

    The form displays the Financial Calendar code and financial year information which have been set up. The form also displays a grid populated with the business units belonging to the domain and which are as yet unassigned to any financial year, detailing the Business Unit code, group, and name and the Assign column.

  3. Select the Assign checkbox for each business unit to be assigned to the financial year displayed.
  4. Click OK.
    These checks are completed to ensure that the financial years are aligned:
    • If the business units were previously assigned to an earlier financial calendar, the financial year must have ended the day before the start date of the year now being applied.
    • If subsequent financial years exist for any of the business units being assigned, the start date must be the first calendar day after the end of the financial year to which the business units are now being assigned.
    • If transaction data exists for the business units, the transaction dates cannot be after the last period for this financial year.
  5. Once completed the following message is displayed 'Do you wish to activate the Financial Calendar?' Select Yes to activate the Financial Calendar and Financial Calendar Year.
    The Financial Calendar Manage Periods form is opened which displays the Manage Periods grid with the Active Status flag set to Inactive.
