Miscellaneous Permissions Setup - General

  1. Specify this information:
    Static Data Initial State
    This setting defines the initial state of a static data record when it is created by this user:
    • Draft- this is a preliminary state for a new static data record awaiting approval from an authorized user, as defined in Security. Once approved, it is given the status of Open and can then be used in processing.
    • Open - the status of Open means the record can be used in processing.
    View/Amend Held and Provisional Journals created by others
    Select this option to allow members of this group to view and amend held and provisional journals created by others.
    Allow Closed Period Amendments
    Select this option to allow members of this group to modify certain data in journals posted in periods that have been subsequently closed. The amendments can only be made using Account Allocations (ACA), and as such, only the following journal data can be modified:
    • description
    • allocation marker
    • payment terms code
    • due date
    • document reference/date fields
    • discount and payment reference information
    • value date and installment date
    • transaction analysis codes, provided the relevant dimension has the Amend in Account Allocation option set in Analysis Dimensions (AND).
    Allow Allocation Indicator Amendment in Closed Periods
    Select this option to allow members of this group to modify allocation indicators in journals posted in closed periods that have been subsequently closed.
    Bank Overdrawn Warning
    Use this to determine how members of this user group are warned about payments causing an account to be overdrawn. The system displays a warning message if a payment run is likely to take a bank account into an overdrawn position. You may want to restrict the presentation of this warning. Select one of the following:
    • All Messages: the account code and overdraft amount are displayed.
    • Indicate that Some Accounts are Overdrawn: no amount is displayed.
    • Block All Messages: no message is displayed.
    Accounting
    Open Period From/To
    A user can post journals to any periods in this range. If you leave both fields blank, there are no posting restrictions. You can use relative period numbers, for example +nnn or -nnn , where nnn is the number of periods after or before the current period. You can also enter C, for Current, to allow postings to the current period only.
    Open Date From/To
    This controls the only date, or a range of transaction dates, for which users can post journals. If you leave both fields blank, there are no posting restrictions. You can use relative dates, in the form +nnn and -nnn , where nnn is the number of days after or before the current date. You can enter T, for Today's date, to allow postings to the current system date only. Gregorian calendar users can also enter absolute dates.
    Note: The fields above further restrict the open period and date ranges defined in Ledger Setup (LES).
    Account Types Allowed
    Use these options to determine which types of account the members of this user group can access, in conjunction with the Apply Restrictions options as described below. Select the appropriate check boxes to allow this user group access to the account types as appropriate. These options are available:
    • Debtor
    • Creditor
    • Client
    • Profit and Loss
    • Balance Sheet
    • Memorandum
    Apply Restrictions - Static Data and Transactions Account Type
    These options determine how the access restrictions are applied to all of the Account Types allowed as described above.

    The following options are available:

    • Entry / Update

      This option determines whether this operator group may enter and amend the account details for the allowed Account Types, for example, using Chart of Accounts (COA), and when posting ledger transactions to the allowed Account Types using Ledger Entry (LEN).

    • Reporting & Inquiry / View

      This option determines whether this user group may view the account details for the allowed Account Types, and report on them, for example, by selecting Report from the Action menu in Chart of Accounts (COA).

      Note: Setting these Apply Restrictions options is only effective if the Financials Data Security option is set for the business unit in Business Unit Setup (BUS).
