Setting up a contract line preset
- Access SunSystems.
- Specify RLP in the search field and select Contract Line Preset (RLP).
- Specify the Contract Line Preset Code and click OK.
- In the information dialog box, click Yes.

Specify this information:
- Preset Short Heading
- Specify a shortened version of the contract line description to use in the contract line preset.
- Preset Data Access Group (DAG) Code
- The DAG code to be applied to restrict operator from accessing this data.
- Preset Description
- Up to 100 characters of text to describe generate type.
- Preset Lookup Code
- The lookup code can be used to find a record, as an alternative to the record code. It is often set to a shortened version of the description. It is particularly useful if a record is often referred to using different codes. For example, the Chart of Accounts code for Fuel Expenses is 75201 and the Lookup Code is set to FUELEXP.
- Preset Type
- Select type of preset:
- Start Of Contract
- Item
- Prompted
- Line Number
- End of Contract
- Sales Type
- Start of Line
- End of Line
- Default
Note: If you set Preset Type to:- Item then you must specify Item Code.
- Sales Type then you must specify Sales Type.
- Line Number then you must specify Line Number.
- Line Number
- Automatically generated contract line number.
- Hierarchy Level
- Specify a hierarchy level of a contract line preset.
- Sales Type Code
- The required sales type for the contract.
- Sales Type for Validate Only
- The required sales type for the contract line if separate credit note runs of Generate Invoices are required.
- Sales Type for Credit Note
- The required sales type for the contract line if separate credit note runs of Generate Invoices are required.
- Phase Code
- Optionally, you can specify the unique code for the phase of contract line detail.

Specify this information from the Details tab:
- Item Code
- If the Preset Type is set to Item, this field contains the item's code.
- Description 1-3
- Description added to the contract line using the preset.
- Account Code
- To attach the contract line preset to a specific account, select the specific account code then click OK.
- Asset Code
- To attach the contract line preset to a specific asset, select the specific asset code then click OK.
- Lookup Code
- Specify the lookup code to add in the contract line preset.
- Delivery Address Code
- Select the address code where deliveries are made as you define in the Addresses (ADD) then click OK.
- Invoice Address Code
- Select the address where invoices are sent as you define in the Addresses (ADD) then click OK.
- Miscellaneous Address Code
- Select the miscellaneous address as you define in the Addresses (ADD) then click OK.
- Miscellaneous Input 1-2
- Specify the miscellaneous inputs to use in the contract line preset.
- Status
- Each static data record contains a status
code that determines the current processing status of the record:

Open - this status is set automatically when you add a new record, for example, if you create a new account. Open items are available for input, inquiry, processing and reporting.

Hidden - a record with a hidden status does not appear on any inquiries but is available for input, processing and reporting.

Suspended/Held - a suspended record.

Closed/Completed - a closed record cannot be used for input or processing. For example, you cannot post transactions to a closed account or analysis code.

- Reason Code
- Select whether the reason code to set on each contact credit lines is DAMAGED, FAULTY, INCORRECTSTOCK, INVADJ, OUT OF SPEC, or OUT OF STOCK.
- Payment Terms Group Code
- The payment terms that apply to the customer which are defined using Payment Terms (PYT). They determine when a transaction is due for payment, whether any settlement discounts are allowed and can calculate other selected payment related dates and charges, or document dates. The payment terms group also determines whether a transaction must be split into installments using scheduled payments.
- Short Heading
- Specify the short heading.
- Miscellaneous Reference 1-2
- Specify the miscellaneous references to add in the contract details.

Specify this information from the Billing tab:
- Recurrence Code
- The recurrence code uniquely identifies recurrence.
- Recurrence Day
- Specify the day of recurrence.
- Recurrence Once Off Date
- Select the recurrence off date to bill on the contract.
- In Arrears
- Select the check box to run the In Arrears.
- Use Installments
- Select the check box to ise installments.
- Recurrence Month
- Specify the month of recurrence.
- Recurrence Once Off Date Option
- Select one of these option:
- Not Set
- Current
- First Day of Month
- Last Day of Month
- First Day of Year
- Last Day of Year
- Start Date
- End Date
- Review Date
- Misc Date 1
- Misc Date 2
Offset: Specify +

or -n
as an offset to be applied to the date.Unit: Select days, months or years as the offset unit.
- Billing Indicator
- Select whether the billing indication in the contract line preset is for Billing Only, Reporting Only, or Both.
- Installments Number
- Select whether to use or not the installment feature in recurring invoicing.
- Recurrence Interval
- Specify the recurrence interval to bill on the contract.
- Recurrence Once Off Date Offset
- Select the recurrence off date to bill on the contract.
- Recurrence Once Off Date Calculation Unit
- Select the recurrence calculation unit date to bill on the contract.

Specify this information from the Analysis tab:
- Department
- Select whether the analysis code is:
- # - for not analysed analysis code.
- 11 - for corporate sales.
- 12 - for enterprise sales.
- 13 - for general sales.
- 21 - for development.
- 22 - for documentation.
- 23 - for quality assurance.
- 31 - for training.
- 32 - for implementation.
- 41 - for information technology.
- 42 - for marketing.
- 43 - for administration.
- 44 - for finance department.
- Tax
- Select whether the analysis code is:
- # - for not analysed tax.
- E - for exempt tax.
- H - for higher rate value-added tax (VAT).
- L - for lower rate value-added tax(VAT).
- V - for standard rate value-added tax (VAT).
- X - for export tax.
- Z - for zero-rated tax.
- Analysis Code 3-10
- The analysis code to be used for the preset.

- Select the start date option to display in a contract line preset.

- Select the end date option to display in a contract line preset.

- Specify the start date offset to display in a contract line preset.

- Select the review date calculation unit to display in a contract line preset.

- Select the miscellaneous dates calculation unit to display in a contract line preset.

- Quantity Value
- Specify the quantity value to use in the contract line preset.
- Unit Price Value
- Specify the unit price value to use in the contract line preset.
- Quantity Override Flag
- Select to allow the user to change the quantity override values in the control line preset.
- Unit Price Override Flag
- Select to allow the user to change the unit price values in the control line preset.
- Quantity Control Number
- Specify the quantity control number to use the control line preset in the Contract Setup form (RCS).
- Unit Price Control Number
- Specify the unit price control number to use the contract line preset in the Contract Setup form (RCS).
- Unit Price Prorate Method
- Select whether there is no unit price prorate method, not set, or set in monthly, daily, weekly, annually, traditional quarterly, normalized, simple monthly, or 30 days in the contract line preset.
- Unit Price Recurrence Code
- Select whether the unit price recurrence code to add in the contract line preset is monthly or quarterly.
