Manage Periods (FCP)

Open Manage Periods (FCP) from the main SunSystems menu.
Alternatively the Manage Periods (FCP) function is called via Financial Calendars (FCS) after business units have been assigned. If the option is invoked from Financial Calendars, then the calendar defaults to the calendar that is open in Financial Calendars, otherwise it is blank.

Select the required calendar code.
Note:

Select
OK to enable the
following Filter Selection fields for entry:
- Business Unit /To
- Current Period From/To
- First Open Period From/To
- Last Open period From/To
The four modules is presented as a set of check-boxes. Modules that are not serialized are displayed as unchecked and disabled and are not included in the results. The rest are defaulted to checked.

Select at least one of the following modules:
- Financials
- Sales
- Purchasing
- Inventory.

Click OK to display the Business
Unit and Module
details that meet the filter criteria.
The following details are displayed in the grid for each module:
- Current Period
- First Open Period - This is the start period of the Open Period range
- Last Open Period is the end period of Open Period range
- Active - This check-box is selected when Active, unselected when Inactive. A module is Inactive when the Period Status is draft or the Current period is blank
- First Open Date - This is the Period Start Date of the First Open Period
- Last Open Date
- Validation Message - This is the Period - Initially blank, this will show the result of actions applied to the line. - This is the Period End Date of the Last Open Period

Specify this information:
- Amend
- Use this action to manually change the details for
a module. The following fields can be changed:
- Current Period - a valid period for the Financial Years assigned to the Business Unit. It must be within the open period range
- First Open Period - a valid period for the Financial Years assigned to the Business Unit
- Last Open Period - a valid period for the Financial Years assigned to the Business Unit. It must be greater than the First Open Period
- Active - select this to activate the Financial Year for the module.
Alternatively these details can be changed by selecting one or more rows in the grid and using one of the following bulk update actions then selecting Apply. Any errors or successful completion of the action are displayed in the validation message column.
- Advance Current Period

You can increase the current period setting by highlighting one or more rows, then selecting the Advance Current Period option from the Action menu. Where the next period is an adjustment or year end period, the period is moved to the first period of the next financial year. The period can also be moved to a year which is in a different calendar if required.
When this option is selected the following message is displayed, 'The Current Period for the selected module(s) will be moved forward a period. Do you wish to continue?' Select Yes to continue.
- Revert Current Period

You can also decrease the current period setting by highlighting one or more rows then selecting the Revert Current Period option from the Action menu. Where the prior period is an adjustment or year end period, the period is moved to the last normal period of the prior year.
When this option is selected the following message is displayed, 'The Current Period for the selected module(s) will be moved back a period. Do you wish to continue?' Select Yes to continue.
- Close First Period

To close the first period, highlight one or more rows and select the Close First Period option from the Action menu. Where the next period is an adjustment or year end period the period is moved to the next adjustment period if the Module is Financials, otherwise it is moved to the first period of the next financial year.
When this option is selected the following message is displayed, 'The First Open Period for the selected module(s) will be closed. Do you wish to continue?' Select Yes to continue.
- Re-open Prior Period

To re-open the prior period, highlight one or more rows and select the Re-open Prior Period option from the Action menu. Where the prior period is in a prior year, the period is moved to the last adjustment or year end period of the prior year if the Module is Financials, otherwise it is moved to the last normal period of the prior year.
When this option is selected the following message is displayed, 'The previous period for the selected module(s) will be opened. Do you wish to continue?' Select Yes to continue.
- Open Next Period

To advance the last open period, highlight one or more rows and select the Open Next Period option from the Action menu. Where the next period is an adjustment or year end period, the period is opened as normal if the Module is Financials, otherwise it is moved to the first period of the next financial year.
When this option is selected the following message is displayed, 'The Next Period for the selected module(s) will be opened. Do you wish to continue?' Select Yes to continue.
- Close Last Period

To move the last open period back a period, highlight one or more rows and select the Close Last Period option from the Action menu. Where the previous period is an adjustment or year end period, the period is opened as normal if the Module is Financials, otherwise it is moved to the last normal period of the prior year.
When this option is selected the following message is displayed, 'The Last Open Period for the selected module(s) will be closed. Do you wish to continue?' Select Yes to continue.
- Activate

Select one or more rows to activate the changes made in Manage Periods (FCP). The row must be marked as activated in order to enable the Apply button and save any changes.
Note: Amending the Total Number of Periods will also update the Maximum Number of Periods in Business Unit Setup. - Apply

Select this option to save the changes that have been made.
Note: If you change the period to a new calendar year that has a different number of periods to the current year, you must ensure all important posting processes have been run first. For example Payment Run, Ledger Import, or any provisionally posted journals.
- Save your changes.
