Creating and maintaining a contract line
- Access SunSystems.
- Specify RCS in the search field and select Contract Setup (RCS).
- Click Details and select any form with Description set to Contract Line.
- Specify Item Code and Sales Type.
- Click OK.
- In the information dialog box, click Yes.
- Specify this information:
- Line Number
- Automatically generated contract line number.
- Sequence Number
- The sequence number of the contract.
- Hierarchy Level
- Specify a hierarchy level of a contract line.
- Customer Code
- The customer code for the contract.
- Contract Id
- An identifying number of the contract.
- Item Code
- The code for the item.
- Sales Type Code
- The required sales type for the contract.
- Lookup Code
- The lookup code can be used to find a record, as an alternative to the record code. It is often set to a shortened version of the description. It is particularly useful if a record is often referred to using different codes. For example, the Chart of Accounts code for Fuel Expenses is 75201 and the Lookup Code is set to FUELEXP.
- Short Heading
- The short heading, which is used where space is limited. If this is blank it defaults to the first characters of the description.
- Contract Code
- An identifying code of the contract.
- Contract Line Id
- An identifying number of the contract line.
- In Progress
- Indicates whether a contract line is in progress of any process or not.
From the General tab:
- Item Code
- The code of the item.
- Description
- Up to 50 characters to describe the item.
- Customer Item Code
- The code of the customer item.
- Description
- Up to 50 characters to describe the customer item.
- Invoice Address Code
- The invoice address code for the contract.
- Delivery Address Code
- The delivery address code for the contract.
- Miscellaneous Address Code
- The invoice miscellaneous code for the contract.
- Payment Terms Group Code
- The code identifying a set of payment terms.
- Phase Code
- Optionally, you can specify the unique code for the phase of contract line detail.
- Sales Return Serial Number
- If the item has been defined in the item master as serialized, this field must contain a valid serial number.
- Account Code
- The account code uniquely identifies the ledger account. To create a new account, enter a code within the logical range of codes for the appropriate type of account, according to your chart of accounts coding structure.
- Warehouse Code
- An identifying code for this warehouse. This might include part of the address, the description of the type of items it holds, or its storage characteristics. For example, EAST may be the code for the Eastern Warehouse.
- Carrier
- The supplier who is delivering the order.
- Asset Code
- If the preset is to be attached to a particular asset, this field contains the specific Asset Code.
- Salesperson Role Code
- An identifying code for salesperson role.
- Salesperson Employee Code
- The employee code for the salesperson.
From the Billing tab:
- Start Date
- The date the billing commences.
- End Date
- The end of the billing period. If you leave this field blank, the billing is continuous.
- Review Date
- The review is used to generate a report when it is required.
- Last Charged Date
- The last billing date of a contract line. If this field is blank, a contract line has not been billed.
- Next Charge Date
- The next billing date of a contract line. For in-advance lines, this is the start of the next billing period. For in-arrears lines, this is the end of the next billing period.
- Billing Indicator
- Select whether the billing indication in the contract line is for Billing Only, Reporting Only, or Both.
- In Arrears
- Select the check box to run the In Arrears.
- Sales Type Code
- The required sales type for the contract for normal billing runs.
- Sales Type for Validate Only
- The sales type required for validation only.
- Sales Type for Credit Note
- The required sales type for the contract line if separate credit note runs of generate invoices are required.
- Use Installments
- Select the check box to use the installment feature.
- Installments Number
- The number of installments to bill. This is reduced by the number of generated invoices for each billing run.
- Recurrence Code
- The recurrence code, that can be defined in the Recurrence Setup (RRS), uniquely identifies recurrence.
- Recurrence Day
- The day of recurrence.
- Recurrence Month
- Select the anniversary month.
- Recurrence Interval
- The number of months between billings. For example, specify 3 for quarterly billing or 12 for annual billing.
- Recurrence Once Off Date
- Select a once off charge date to bill only one period with no deferred income. You can also use it to hold an anniversary date for daily recurrence.
From the Analysis tab:- Department
- The identifying department code.
- Tax
- The tax code.
- Analysis Code 3-10
- Analysis codes to be used for the preset. Analysis structure for contract analysis can be set in the Analysis Structure (ANS)
From the Values tab:- Unit of Sale
- Selected unit of sale.
- Demand Quantity
- The quantity of the demanded unit.
- Original Demand Quantity
- The original quantity of the demanded unit.
- Currency Code
- The code of selected currency.
From the Miscellaneous tab:- Miscellaneous Date 1-2
- Select the first and second miscellaneous dates to display in a contract line.
- Miscellaneous Input 1-2
- Specify miscellaneous inputs to use in the contract line.
- Data Access Group (DAG) Code
- The DAG code to be applied to restrict operator from accessing this data.
- Miscellaneous Reference 1-2
- Specify miscellaneous references to add in the contract line.
- Comment
- Any additional text describing the contract line.
- Click Exit.
