What Transaction Details can be Amended Using Account Allocation?

You can use Account Allocations (ACA) to amend some of the non financial information held on a transaction, after the transaction has been posted to an account.

This allows you to correct mistakes, for example to amend an incorrect analysis code, to enter missing analysis codes, or to amend the transaction description.

Account Allocations also allows you to alter payment term details to change the payment due date, or discount date and discount percentage.

What Transaction Details Can I Change?

You can amend any of the following details:

  • Transaction description
  • Allocation marker
  • Ledger transaction analysis codes
  • Payment terms code
  • Due date
  • Discount 1 date and percentage
  • Discount 2 date and percentage
  • Interest date and percentage
  • Late payment date and percentage
  • First document details - date, prefix/number and document number
  • Second document details - date, prefix/number and document number
  • Payment reference
  • Bank code

The transaction details you can amend are displayed in highlighted columns on the Search Results - Account Allocation form.

Note: You cannot amend the payment related fields of discount, interest, late payment or payment terms on closed transactions. That is, those with an allocation marker of Correction, Reconciliation, Allocated or Paid.
Note: You can only amend the analysis codes for an analysis dimension if the Amend in Account Allocation option is set in Analysis Dimensions (AND).
Note: If you update the payment terms code, you are warned that this alters the due date and discount details on the transaction.

Changing the Allocation Marker on Individual Transactions

You can change the allocation marker to change the status of the transaction or request particular processing. For example, you could set the marker to Force to include the transaction in the next payment run, or set it to Withhold to stop it being selected for payment. You can also change an allocation marker to spaces to 'de-allocate' or 'unpay' a transaction. See 'Updating the Allocation Markers Manually'.

Some allocation markers can only be set on a group of balancing transactions. See 'Which Allocation Markers Must Balance?'

Changing the Allocation Marker on Several Transactions

You can use the Action All option to change the Allocation Marker from one code to another, on all of the appropriate transactions. The system looks for all of the extracted transactions that reference the from marker and changes the marker to the To marker you have chosen. For example, you may want to change the marker from Withhold to Not Allocated.

Changing Provisional Postings

If provisional postings are mandatory, you cannot amend the following transaction details on permanent postings: entry date, description, and the ledger transaction analysis codes for the Transactions Sequence Dimension, Daybook Sequence Dimension and Tax Code. See 'Amending Provisional Postings'.
