Amending or Suspending Journal Presets

A journal preset can be assigned to a journal type to predetermine some or all of the journal line details for a business transaction. A journal preset can predetermine a series of journal lines for a journal, inserting the appropriate field values where necessary.

If journal presets have been defined, the journal details appear automatically in the appropriate fields on Ledger Entry (LEN). The cursor skips valid preset fields. A prompt may appear for each field to indicate the type of information you should enter.

Note: You can choose to prevent operators from changing the values entered by the preset. However, the values are only forced when a journal is being created; they can be changed when a journal is being amended.

Amending a Preset Field Value

You can amend the preset value for an individual field providing the Force Presets option has not been set for the journal line in Journal Presets (JNP).

Applying Different Journal Presets

Use the following steps to apply a different set of journal presets to the current journal.

Note: You can only apply a new set of presets on the first line of a journal, after you have entered the transaction reference.
  1. Select Action > Options > Amend Presets to display a selection dialog.
  2. Select the appropriate Journal Preset code.
  3. Click OK.

Ignoring the Journal Presets

Sometimes you may need to enter a journal without using the journal preset detail set for the journal type.

To do so, select Action > Options > Create Without Presets.
