Filter

You can use filters to restrict the transactions that are selected for the source accounts. The filters can be used to only select transactions that reference particular analysis dimension codes, or other ledger transaction details. For example, if you only want to allocate transactions relating to Product A and product is identified in an analysis dimension.

All of the filter criteria must be met before a source transaction's value is included in the allocation source amount.

If you need to include more than three analysis dimensions in the selection criteria you should enter allocation source continuations.

  1. Click the Filter tab in the Allocation Sources window.
  2. Specify this information:
    Source Analysis Dimension 1-3

    Up to three analysis dimensions, or other ledger transaction selection details, can be chosen here and used to select the source transactions. You can choose any of the analysis dimensions that have been assigned to ledger transactions, ledger accounts, or assets using Analysis Structure (ANS). In addition, you can choose any of the following ledger transaction details:

    • Allocation marker
    • Asset marker
    • Account type
    • Journal source
    • Journal type
    • Transaction reference
    Selection To 1-3

    For each of the three selection criteria chosen, you can enter a particular code, or a range of codes, to be used to select the source transactions. You may also use masking in these fields to select matching codes. For example, if you enter AB***, any five character code beginning with AB, for the appropriate analysis dimension, is considered valid.

    Source Threshold From/To

    The threshold range identifies a range of source values. If this is entered, the total of the selected source transactions must fall within this range for the transactions to be used as the basis of an allocation. For example, you may only want to allocate head office costs if the total cost is over GBP 5000.

    If the total of the source transactions is outside this range, the allocation is not performed. The Allocation Run report indicates the reason for the exclusion.

    Note:  If the Source Threshold To value is left blank, then zero is assumed. Therefore, if you want to identify a single source amount, rather than range, you must enter the amount in the From and To values.
