Configuring the document type in Infor Document Management

Note: As of 2024, the SMARTHELP Document Type is provisioned automatically in Infor OS Portal and available by default. Creating the SMARTHELP Document Type is no longer required but you can use these steps to create a custom Document Type.

You can use these steps to create a custom Document Type with additional access control settings. This task is performed by a user with the IDM-administrator role.

  1. As an Infor Document Management administrator, sign in to Infor OS Portal™.
  2. Navigate to Document Management.
    In Infor OS Portal, click the Document Management tab from the OS Home page. Alternatively, click the Navigation Menu, and then select Document Management from the Applications list.
  3. In the upper right corner, click the Control Center Gear icon. The Control Center page is displayed.
  4. Click Document Type in the Administration tab.
  5. Click + New Document Type to create a new document type.
  6. Specify a Display name such as SMARTHELP_1. The Name field is automatically populated.
  7. Select the Template check box.
  8. Accept the default settings for the other fields.
  9. Click Next.
  10. To add an attribute, click the + at the top of the Attributes window.
  11. Specify this information:
    Display name
    Specify SCREENID
    Data type
    Select String
    Single-value and Multi-value options
    Select the Multi-value option. Use this choice to assign multiple screens to any documents in this type.
    Specify any additional attributes for this Document Type.
  12. Click Next.
  13. In the Access Control List, click Add.
  14. Specify the Name and Description for the new ACL.
  15. Set Secure attributes, which can only be edited by users with the “SecureAttributes” privilege. To achieve this, put currently existing attributes into the “Secure Attributes” category.
  16. Add security roles and give each role privileges. Select an IFS role from the drop-down and select the check boxes that correspond to the correct permissions.
  17. Click OK. The new ACL is now listed in the Access Control List table.
  18. Select the ACL you want to be the default, then click Set as Default ACL to set the selected access level as the default.

  19. Click Done.
  20. Click Back to Documents and click the Control Center Gear icon.
  21. In Configuration, click Document Type Filter.
  22. Click New Filter.
  23. In the New Filter window, select the appropriate user role, for example IDM-User, then click OK.
  24. Select the Enable Filter slider.
  25. Search Available Document Types for SMARTHELP.
  26. Click SMARTHELP to move it to the Selected Document Types list.
  27. Click Save Changes.
