Creating or modifying the Onboarding setup

Use this page to create or modify the onboarding parameters required for the supplier onboarding functionality.

  1. Select Supplier Onboarding > Onboarding Setup.The Onboarding Setup page is displayed.
  2. Specify this information in the General Setting section:
    Onboarding style
    The option to determine the execution mode for the Onboarding process. Possible values:
    • One-step - Onboarding is a single step process.
    • Two-step - Onboarding is a two-step process; the Qualification phase followed by the Selection phase.
    Category Based OB Style
    Select this check box to enable the onboarding style at the category level.
    Allow Public Registration
    Select this check box to allow vendors (prospective supplier) for onboarding voluntarily.
    Public Invitations Prefix
    The prefix for the application reference number generated for vendors.
    Buyer Invitations Prefix
    The prefix for the application reference number generated for vendors who receive the onboarding invitation from the customer.
    Supplier Template Code
    The code for the onboarding applications that are approved and sent to ERP.
    Onboarding message
    The content of the message that is specified using this option. This is displayed to the vendor during the Onboarding process.
    Manage Email Template
    The template is defined for the emails that are sent during the Onboarding process.
  3. Click Onboarding messages to specify the content of the message that must be displayed to the vendor during the Onboarding process. See Customizing Onboarding messages
  4. Click Manage Email Templates to define the template for the emails that are sent during the onboarding process. See Creating Email Template.
    Terms and Conditions
    The terms and conditions that the supplier must agree to proceed with the onboarding process.
    Note: You can also use the Add Terms and Conditions option corresponding to this field to define the terms and conditions. See Creating Terms and Conditions.
  5. Specify this information in the Category Settings section:
    Use Category Managers
    Select this check box to assign a category manager for the product category.
    Note: : If this check box is selected:
    • The code and description of the category manager is displayed. Ex: CM - Category Management
    • This field is displayed on the Category Management page.
    • The Category Manager user group is displayed on the User Groups page.
    Use Vendor Assurance Managers
    Select this check box to assign a vendor assurance manager for the product category.
    Note: If this check box is selected:
    • The code and description of the Vendor Assurance Manager is displayed.
    • The Vendor Assurance Manager field is displayed on the Category Management page.
    • The Vendor Assurance Manager user group is displayed on the User Groups page.
    Category Tree
    The categories are added to the Category Tree. Possible values:
    • Manual: This option is used to add the categories manually and import the categories from an XML file.
    • Import from Partgroups: This option is used to import the categories from part groups.
    • Import from ERP BOD: This option is used to import the categories from a specific ERP BOD.
  6. Specify this information in the Approval Settings section:
    Site Approval Mandatory
    Select this check box to indicate that the site approval is mandatory.
    Approval Sequence
    The approval process for the application submitted by the vendor. Possible values:
    • Parallel: A predefined order is not set for the approval process.
    • Serial: A hierarchical order is defined for the approval process
    Approval Setup
    The hierarchy for the approval of the Onboarding application.
  7. Specify this information in the Company Information Master Data section:
    Employee Range
    Select this check box for allowing the vendors or suppliers to specify the range for the number of employees in the vendor organization. See Managing Ranges .
    Revenue range
    Select this check box for allowing the vendors or suppliers to specify the range for the revenue utilized by the vendor organization.
    Years of Business
    Select this check box for allowing the vendors to specify the number of years in business.
    Flex fields
    Select this check box to display the flex fields on the Company Information page.
  8. Specify this information in the Integration Settings section:
    Deactivating Supplier
    Select this check box to deactivate a supplier if the onboarding application is rejected by the customer or the terms and conditions are declined by the supplier.
  9. Specify this information in the Purge Data section:
    T&C Declined New Vendor Invitations
    Select this check box to purge invitations wherein the vendor has declined the terms and conditions of the customer. You must specify the number of days after which the data is to be purged.
    Rejected New Vendor Applications
    Select this check box to purge the rejected applications vendors. You must specify the number of days after which the data is to be purged.
    In-progress Applications more than
    Select this check box to purge applications that are on hold for an extended period of time. You must specify the number of days after which the data is to be purged.
  10. Click Save.
