Managing Onboarding Setup

Use this page to manage the onboarding parameters required for the supplier onboarding functionality.

  1. Select Supplier Onboarding > Onboarding Setup.The Onboarding Setup page is displayed.
  2. Specify this information in the General Settings section:
    Onboarding style
    The option to determine the execution mode for the Onboarding process. Possible values:
    • One-step - Onboarding is a single step process.
    • Two-step - Onboarding is a two-step process; the Qualification phase followed by the Selection phase.
    • Flexi - Onboarding is a flexible process.
    Category Based OB Style
    Select this check box to enable the onboarding style at the category level.
    Allow Public Registration
    Select this check box to allow vendors (prospective supplier) for onboarding voluntarily.
    Public Invitations Prefix
    The prefix for the application reference number generated for vendors.
    Bank Info Mandatory
    Select this check box to set the Bank information requirement as mandatory for the On-boarding Suppliers.
    Restrict Access to Banking information in the Supplier Self Service
    Select this check box to restrict the supplier from modifying or updating the banking information that is submitted and verified during the onboarding process.
    Buyer Invitations Prefix
    The prefix for the application reference number generated for vendors who receive the onboarding invitation from the customer.
    Supplier Template Code
    The code for the onboarding applications that are approved and sent to ERP.
    Onboarding messages
    The content of the message that is specified using this option. This is displayed to the vendor during the Onboarding process.
    Manage Email Template
    The template is defined for the emails that are sent during the Onboarding process.
    Use Custom Instructions
    The customized instructions defined for the supplier or vendor while specifying the onboarding application.
  3. Click the Onboarding messages tab to specify the content of the message that must be displayed to the vendor during the Onboarding process.
  4. Click the Manage Email Templates tab to view these tabs wherein you can create and map the email templates.
    • Email Templates : Use this tab to create a template for the mails that are sent to the supplier or vendor. See:
    • Map Email Templates : Use this tab to link an email template for each step of the onboarding process.
  5. Click the Custom Instructions tab to specify the instructions that must be communicated to the vendor for completing the information in each entity of the onboarding process.
  6. Click the Approval Settings tab to define the hierarchy for the approval of the Onboarding application. See
  7. Click the Purge Data tab to delete the selected data after the specified number of days.
  8. Click the Configuration tab, to view these sections wherein you select the information that must be displayed on the Company Information tab on the Onboarding Wizard page:
    • Company Details : Use this section to select the check boxes to indicate the data that must be specified by the vendor.
    • Ranges : Use this section to specify the range of employees, revenue and the years in business.
