Document profiles
A document profile must be added to each document type that is received. The document profile is used to set the email alerts when the documents are published. The alerts can be set with or instead of the receive.
You can manage the document profiles using the
menu.You can use the document profile, to set three different levels of data receipt (export) for each document type that is sent to Supplier Exchange. You can select these options in the document profile:
- Automatic File Receipt The files are exported automatically to the computer using FTP. If Supplier Exchange is used to communicate with VAN suppliers, a document profile must be created for each document type. When the documents are sent to Supplier Exchange, the application uses the information specified in the document profile to send the data to the VAN supplier as a receiver.
- Email Notification with File Attachment If local ERP/MRP is used, Supplier Exchange sends an email when the data is published. The data is attached to the email in a file.
- Email Notification Supplier Exchange sends an email when the data is published. Supplier exchange is not required to view the new demand or receipts.Note: Email notifications are not sent to the contacts for contacts of a restricted group.
Except for the PDF files, the file extensions indicate the type of documents and not the format of the files. For example, a material release has .mat file extension. To access the file, save the file with the extension of the format selected in the document profile. If a material release must be received in XML format, the .mat extension must be modified to the .xml extension before opening the file. A PDF file is always received with the correct .pdf extension.
