Events Calendar toolbar

You can use the Show Toolbar option on the Events calendar page, to view and manage event details that are to be displayed.

You can perform the event related tasks, using these options:
  • New Event: Enables you to create a new event.
  • New Master Event: Enables you to create a new master event.
  • Quick Entry: Enables you to add a placeholder event to the site.
  • Batch Generate Documents: Enables you to generate documents in a batch.
  • View Leads Pending: Enables you to view the pending leads for events.
  • Show Lead Option Holds: Enable this option to view the option holds in the events calendar.
  • Show Master Events: Enable this option to view master events associated with the events.
You can set the filter(s) such as, event status, event type, name of the location, location group, location type, or site type, based on which the event details are displayed on the calendar.
Note: 
  • The name of the location linked to location groups is based on the value selected on the Edit Location page of Settings functionality.
  • The Location Types field is displayed when you select the Day or Multiple Day view.
You can click the chevron-down icon corresponding to the List Views section to view these options:
  • Master Events: Use this option to view a list of master events. See, Master Event List.
  • Events: Use this option to view a list of events. See, Event List.
  • Functions: Use this option to view a list of functions. See, Function List.
  • Event Guest List Bookings: Use this option to view a list of event guest list bookings. See, Event Guest List Bookings.
You can click the chevron-down icon corresponding to the Availability Options section to view these options:
  • Check Availability: Use this option to check availability of a location for a function on the Check Availability page. See, Check Availability.
  • Check Package Availability: Use this option to check availability of package related to the site on the Check Package Availability page. See, Check Package Availability.
You can click the chevron-down icon corresponding to the Guest Rooms Filters section to view these options:
  • Room Details: You can select the appropriate check box to view the details related to the Contracted, Blocked, Forecast, and Pickup room count for the New Bookings, Remaining Inventory, Tentative Bookings, and Definite Bookings. You can also view the rooms blocks and the transient or contract blocks.
  • Guest Room Type Categories: You can select the appropriate check box to view the details related to the guest room categories for the New Bookings, Remaining Inventory, Tentative Bookings, and Definite Bookings.
You can click the chevron-down icon corresponding to the Usage Options section to view these options:
  • View Daily Menu Mix: Use this option to view menus and service items sold to all events booked in a site for a specific date. See, View Daily Menu Mix.
  • Inventory Usage: Use this option to view the resources in the inventory used in all events held. See, Inventory Usage.
  • Location Capacity Usage: Use this option to view the maximum capacity of a specific venue or event space that is being utilized. The capacity usage of a location is based on the number of guests attending the scheduled function or event.
  • Location Occupancy: Use this option to view the number of days for which each location is booked with the occupancy percentage of the location. See, Location occupancy.

The primary dates can be added to the calendar, using the Manage Important Dates option from the toolbar. See, Manage Important Dates.

You can click the Calendar Settings option to set the calendar for events on the Events calendar page:
  • The data displayed on this page is based on the values specified in these fields:
    • Daily Timeslot Increment
    • Daily Timeslot Width
    • Multiple Days Timeslot Increment
    • Multiple Days Timeslot Width
    • Sort Events By:
  • You can click the chevron-down icon corresponding to the Important Dates section to view these options:
    • Show Holidays: Enable this option to view the dates marked as holiday on the calendar.
    • Show Disabled Dates: Enable this option to view the dates marked as disabled on the calendar.
    • Show Notes: Enable this option to view the note for the event on the calendar.
  • You can click the chevron-down icon corresponding to the Event Details section to view these options:
    • Show Grouped Dependencies: Enable this option to view location dependencies.
    • Show Event name before Function type: Enable this option to view event name before function type.
    • Show Graphical Indicators: Enable this option to view graphical indicator. You can review the booking details of an event and the functions associated with the event using the graphical indicators.
    • Show Event Status Badges: Enable this option to view the event status badges on the event calendar.
    • Show Cancelled Events: Enable this option to view cancelled events.
    • Link to Function in Calendar: Enable this option to link function in the calendar.
    • Hide Function Times: Enable this option to hide the function time.
    • Show Site Colors: Enable this option to view the Event Status colors by Site. The Event Calendar Legend option on the Event Calendar page displays an accordion corresponding to each site to view the status colors configured for the applicable sites, when this option is enabled for more than one site.
      Note: You can set the Event Status color code on the Manage Lifecycle Event Calendar Colors page in Settings.
    • Enable Guest Room Data Filtering using Guest Room Type Category: Enable this option to filter guest room data using guest room type category.
    • Enable Room Types by Location Group View: Enable this option to view the location groups and the associated room types.
    • Group Locations by Locations Group: Enable this option to view location group and associated locations.
