Creating a Guest Room Block

  1. Select Guest Rooms > New Event. The Guest Rooms Block page is displayed.
  2. Specify this information in the Event Details section:
    Restricted
    Select this check box to restrict details of the event from being displayed to all users.
    Note: 
    • Users with the Manage Own Restricted Events and Manage All Restricted Events rights are authorized to select this check box.
    • A user with the Manage Own Restricted Events right can restrict the events that are created by the user.
    • All events can be restricted and all restricted events can be viewed, only if the user has the Manage All Restricted Events right.
    Primary Contact
    The contact person related to the event.
    Event Name
    The name of the event.
    Event Category
    The category in which the event is organized.
    Market Type
    The market segment related to the event such as Corporate, Government, and Leisure.
    Event Type
    The type of event organized such as Birthday, Conference, or Wedding.
    Estimated Attendance
    The number of guests included in the event.
    Note: By default, the zero value is displayed in this field.
    Guest Type
    The type of guest for an event.
    Site
    The site where you require to perform the event.
    PMS Group Number
    The Property Management System(PMS) number linked to a group booking for an event. This value is retrieved from the Infor HMS application.
    Note: 
    • The value in this field is displayed based on the PMS group number specified in the Infor HMS application and cannot be modified.
    • The View HMS Group option is displayed on the Guest Room Blocks page, only if the HMS Interface configuration is enabled on the Manage HMS Interface Settings page and the PMS group number is linked to an event. However, this option is disabled, if the event has not yet synchronized with HMS and does not have the PMS group number. You can use this option to view the guest room block related data specified on the Group Booking screen of the Infor HMS application.
    Event Lifecycle Model
    The model identifies the lifecycle steps that is visible in the Event Lifecycle section.
    Note: You can use the Default lifecycle list unless a Rooms Only lifecycle exits that can be selected from the list.
    Service Fee Rate Option
    The service fee rate applicable for the billing.
    Lock Event Dates
    Select this check box to restrict the planned event from being rescheduled.
    Note: 
    • This check box is a custom field available on the Manage Event Custom Fields page of the Settings functionality.
    • A warning message is displayed if the event is being rescheduled, thereby, alerting the user that the selected date is not within the scheduled event timeframe.
    • The change history is updated when this check box is selected or cleared. You can view the change history details, using the View Change History option on the Event Details page.
    • The event booking dates or end of day adjustments for booking received from HMS application are added to the event, bypassing whether this check box is selected.
    • The application does not consider event booking requests that are received from the gateway.
    • This custom field can be added from the Event Lifecycle Model settings. See Adding or modifying an event lifecycle.
    • This custom field can be added when creating a workflow rule. See Adding or modifying a workflow rule.
  3. Specify the payment and billing contact details in the Billing Details section.
  4. Specify this information in the Guest Rooms Block Details section:
    Guest Rooms Block Name
    The default name of the event.
    Reservation Method
    The method used for booking reservation for the services, facilities, or resources.
    Hold Type
    The method in which the guest rooms block is reserved.
    Rate Plan
    The rate plan associated with the guest rooms block.
    Forecast Occupancy Type
    The occupancy type (single, double, triple, or quad) for each guest room type.
    Shoulder Rate Plan
    The rate plan for a guest who stays at the hotel before the start date or after the end date of the booking.
    Owner
    The default user who has logged on to the application.
    Note: The default user can change the ownership to another user.
    Salesperson
    The default user who has logged on to the application.
    Note: The default user can assign another user as the salesperson.
  5. Click Save.
    Note: You can also use these options:
    • Save and Add Guest Rooms Booking: Save the existing guest rooms and add one or more guest rooms.
    • Save and Guest Rooms Bookings (Classic): Save the existing guest rooms and one or more classic guest rooms.
