Adding a task custom field

  1. Select Settings > Activities, Tasks, and Appointments > Custom Fields & Page Layout > Manage Task Custom Fields. The Manage Task Custom Fields page is displayed.
  2. Click New. The Edit Custom Field page is displayed.
  3. Specify this information:
    Field Type
    The type of field based on which a new field is created and displayed when modifying the Task details.
    Note: 
    • Additional options are displayed based on the value selected in this field.
    • If this field type is set to Pick List, the List Options field is displayed. You can add options in the List Options field using Add Option. The Deactivate option is displayed corresponding to the List Options field when modifying and saving the pick list option.
    Label
    The name of the custom field.
    Locked
    Select this check box to mandate the inclusion of the custom field in the page layout.
    Required For All
    Select this check box to mandate the use of custom field for all divisions.
    Note: The custom field is made mandatory for all divisions, only if the custom field is added to the page layout.
    Required For Divisions
    The division(s) for which the custom field is required.
    Note: This field is displayed when the Required For All check box is cleared.
    Required In Portals
    Select this check box to mandate the use of the custom field in portals.
    Required In Portals For Divisions
    The division(s) for which the custom field is required in portals for all divisions.
    Note: This field is displayed when the Required In Portals check box is cleared.
    Available in Lifecycle
    Select this check box to make the custom field available in lifecycle.
    Auto Number Format
    The number format for the custom field.
    Next Number
    The corresponding number displayed based on the number specified in the Auto Number Format field.
    Note: The Auto Number Format and Next Number fields are displayed only when the value in the Field Type field is set to Auto Number.
    Searchable
    Select this check box to ensure that the value of the custom field can be searched.
    Note: This check box is displayed only when the value in the Field Type field is set to Auto Number, Text, or Text Area.
    Write Once
    Select this check box to permanently save the value when specified for the first time.
    Note: This check box is displayed only when the value in the Field Type field is set to Currency, Date, Decimal Number, Whole Number, Pick List, Related Pick List, Multi Pick List, Text, Text Area, Time, or URL.
    Default Value
    Select this check box to set a default value for a custom field.
    Note: This check box is displayed only when the value in the Field Type field is set to Checkbox.
    Formula
    A formula is created by copying a required field reference from the Field Values section.
    Note: You can create a formula for the custom field only if the value in the Field Type field is set to Formula.
    Default to Current Date
    Select this check box to set a default current date for a custom field.
    Note: You can set a default value only when the value in the Field Type field is set to Date or Time.
    Initializing Field Value
    A default value set for the custom field.
    Note: You can set a default value only when the value in the Field Type field is set to Text, Time, Date, Decimal Number, Whole Number, Percent, Text Area or URL.
    Days Offset
    The default number of days set for the custom field.
    Note: You can set a default value only when the value in the Field Type field is set to Date. The default value can be changed.
    Minimum Value
    The minimum default value for the custom field.
    Maximum Value
    The maximum default value for the custom field.
    Note: The Minimum Value and Maximum Value fields are displayed only when the value in the Field Type field is set to Currency, Decimal Number or Whole Number.
    Minimum Length
    The minimum length of character allowed in the custom field.
    Maximum Length
    The maximum length of character allowed in the custom field.
    Note: The Minimum Length and Maximum Length fields are displayed only when the value in the Field Type field is set to Text or Text Area.
    Default to Current Time
    Select this check box to ensure that the default time displayed for the custom field is the current time.
    Note: You can set a default value only when the value in the Field Type field is set to Time.
    Include Inactive
    Select this check box to include details related to the inactive custom field.
    Note: This check box is displayed only when the value in the Field Type field is set to Pick List or Multi Pick List.
    Help Text
    A description for the custom field.
  4. Copy the required field reference from the Field Values section to:
    • The Formula field for creating a formula for the custom field.
    • The Initializing Field Value field to set a default value.
    Note: You can copy only one field reference at a time.
  5. Click Save.
    Note: The custom field can be dragged from the Available Fields section to the Task Details section on the Manage Task Page Layout page. The position of this field can be modified.
