Guest Rooms Control Calendar

The Guest Rooms Control Calendar page allows you to create a New Event or a New Master Event. The data displayed on this page is based on these parameters:

  • Site
  • Date
  • Location Types
  • Event Types
  • Room Details
  • Guest Room Type Categories
  • Show Function Space
Note: You can select the appropriate check box in the Room Details field to view the details related to the Contracted, Blocked, Forecast, and Pickup room count for the New Bookings, Remaining Inventory, Tentative Bookings, and Definite Bookings. You can also view the rooms blocks and the transient / contract blocks.
You can also click the ellipses icon on this page to:
  • View a list of guest rooms blocks, using the View Guest Rooms Block List option.
  • View a list of events, using the View Event List option.
  • Generate a document for one or more master events, events, or functions, using the Batch Generate Documents option.

This page also displays a field to add information for each site and a specific date.

When logging on to the Guest Rooms Control page, the calendar displays the multiple day view starting with the current date for the user’s primary site. The primary site is set in the security profile.
Note: When multiple sites are selected in the Site field, a separate calendar for each site is displayed in the Event Calendar section. To select the number of days in the Event Calendar section, you can use one of the quick select defaults or specify the number of days between 2 to 31.

You can click the left and right chevron icon to move forward and backward to view the bookings for specified days or, selected days or weeks. To move forward and backward by year, you can click the left and right double chevron icon.

The color codes in the Event Calendar Legend section are displayed based on the current status of the event or the type of event.

The Event Status color can be set by Site or Enterprise, using the Calendar Setting option in the toolbar. You can enable the Show Site Colors option in the Event Details section of Calendar Settings to view the Event Status colors by Site.

The color codes in the Event Calendar Legend section indicate the current status of the event in the events calendar.

You can set the Event Status color code from the Manage Lifecycle Event Calendar Colors page in Settings.

The Event Calendar Legend option displays an accordion corresponding to each site to view the status colors configured for the applicable sites, when the Show Site Colors option is enabled for more than one site.

You can enable the Event Status color for an event from the User Preferences page in Settings.

The rows in the calendar highlighted in blue display events or guest rooms blocks with guest room bookings.

You can click the info icon of a guest room block, to display a summary of the guest room block information.

The Event Calendar section includes:

Remaining Inventory
The difference between the Total Inventory and the sum of Definite Bookings and Tentative Bookings.
New Bookings
The total number of new Guest Rooms Bookings related to events for each day with the Inquiry or Proposal status.
Tentative Bookings
The total number Guest Rooms Bookings for each day for events that are yet to be confirmed (event status preceding and inclusive of Tentative).
Definite Bookings
The total number of Guest Rooms Bookings for each day for events that are confirmed (event status Definite and subsequent status).
Note: You can click expand_icon to expand and view the type of guest rooms and room counts of the guest rooms type.
Total Inventory
The sum of inventory for all the specified room types, for each day. You can click Total Inventory to view the inventory for each room type.
Transient Protected Inventory
The inventory value as specified on the Settings page.
Minimum Available Rates
The minimum rates that are available for the guest room bookings as specified on the Settings page.
Note: The user defined color codes are used to indicate the current status of the event.
