Adding or modifying a workflow rule

  1. Select Settings > Workflow > Workflow Rules > Manage Workflow Rules.The Workflow Rules page is displayed.
  2. Select a division and a site to which a workflow rule must be added.
  3. Click New Rule. The Add/Edit Workflow Rule page is displayed.
    Note: You can modify the existing workflow rule, using the Edit option.
  4. Select the related business type for the new workflow rule, in the Related Business field.
  5. Click Next.
  6. Specify this information in the Workflow Rule section:
    Owner
    The owner of the workflow rule.
    Name
    The name of the workflow rule.
    Description
    The description for the workflow rule.
    Is Active
    Select this check box to enable the workflow rule.
  7. Select a value in the Evaluate field to set when the criterion for the rule required to be evaluated. Possible values are:
    • Only when records are created
    • When created or edited until the criteria is matched
    • Every time records are created or edited
    • Once daily
      Note: If you select the Once daily value in this field, the Defer Hour field is displayed.
  8. Click Add Filter to add the filter for criteria in the Add/Edit Criteria section.
    Note: When you set the value in the Evaluate field to Only daily, you are required to specify one date field using Days Before, Day Of, or Days After comparator. The rules are implemented during the midnight hour based on the time zone of the Site or Organization.
  9. Click Save.
  10. Select New Action in the Action section to create a workflow action that takes place when the evaluation criteria are met. The Add/Edit Workflow Action page is displayed. See Adding or modifying a workflow action.
    Note: The Action section is displayed only when you are adding a new workflow rule
  11. Review the workflow action details in the Action section
  12. Click Done.
