Events Calendar

The Events Calendar page allows you to quickly and easily view upcoming and past events so that you can make timely business decisions. This page is the focal point for all the events with functions that are booked in the system.

The data on the Event Calendar page is displayed based on the values specified in the Site and Date fields.
Note: If you manage more than one site, you can change the site from the Site field.

You can filter the events displayed in the calendar by selecting the Show Master Events and Show Reservations check boxes.

The Notes field can be used to communicate information for that day at the site-level.

The Event Calendar can be viewed in four different ways:

  • Month
  • Week
  • Day
  • Multiple Day
Month
A monthly view of events booked for a selected month. The booked functions are shaded in the day column and display the time.
Week
A weekly view of the events booked for a selected week. The booked functions are shaded in the day column and corresponding to the time row.
Day
A full day view of events booked for a selected date. The booked functions are shaded in the location row from the start to end time. The underlying shading displays the set-up and teardown time. You can filter the locations displayed in the calendar by selecting a location type in the Location Type field.
Multiple Day
A multiple day view of events booked for a selected number of days. The booked functions are shaded in the location row from the start to end time. The underlying shading displays the set-up and teardown time. You can filter the location displayed in the calendar by selecting a location type in the Location Type field.
Note: 
  • The color code indicates the current status. You can set colors on the Setting Event Calendar Look and Feel page.
  • Function start dates and locations can be changed by dragging and dropping the event, while start and end times can be changed by hovering over the function in the Week or Day view and dragging the arrows left or right on either side of the function.
  • When logging on to the Events Calendar page, the calendar displays the current month for the user’s primary site. The primary site is set in the security profile.
  • When multiple sites are selected in the Site field, a separate calendar for each site is displayed in the Events Calendar page.

You can navigate to different dates by:

  • Using the arrows: Single arrows move forward or back a month, week or day. The double arrows move forward or backward by year.
  • Specifying a date in the Date field.
Note: You can click the info icon of an event on any view, to display a summary of the event information or double click on an event, from any view, to access the Event Details page. You can also click the info icon of a location, to display the details of the location. To select the number of days in multiple day view, you can use one of the quick select defaults or specify the number of days between 2 to 31.

You can use this page to:

  • Create a new event using the New Event option.
  • Create a new master event using the New Master Event option.
  • View the pending leads using the View Leads Pending option.
  • Check the availability of a location for a function using the Check Availability option.
  • Check the availability of any package related to the Site using the Check Package Availability option.
