Edit scenario values in a worksheet

This topic describes the conditions and rules to modify the scenario values in a worksheet, based on the edit actions such as a save or discard of data.
Note: The scenario value must be enabled for editing or you must be a part of the scenario share (authorized users or roles) for the worksheet.

The indicators that the scenario can be edited are:

  • An open lock icon is displayed for the scenario on the worksheet.
  • These options are enabled for the worksheet:
    • The Recalculate and Discard Edits since last Recalculate options are displayed, when you access a scenario or worksheet. You can use Recalculate option to perform additional checks ensuring that the scenario can be edited and validated.
    • The Discard Scenario Changes and Save Scenario Changes options are displayed to save or discard the edits. A check is performed to ensure that the scenario can be edited. After the edits are saved, the scenario is reverted to the read-only version.
    • The Edit Scenario option is displayed for the read-only scenarios.
Note: You can access the details of the scenario from the worksheet. The data in a cell for the scenario can be modified, only if formatted with an underline.

When working with a scenario that can be edited, you can only access a working copy which is synchronized with the latest data. The edits can only be viewed by you or the members of the scenario share, only until the Save Scenario Changes option is used. To directly edit the plan data in a worksheet, specify the values in the cell and press Enter. This prorates the edits, when the data is at an aggregate level, based on the split of the ratios specified for the existing data.

Restrictions:

  • You can only edit measures with the status Publish or Internal, for the module.
  • You can only edit a cycle period with the status Running.
  • You can only edit a scenario with the status WIP.
  • You cannot lock a scenario linked to a cycle period with the status Pending, Completed, or Aborted.
  • You cannot edit plan data (cells) for measures, based on calculation rules, as these are directly calculated using the base values.

Select Discard Edits since last Recalculate to discard the edited plan data, and update the worksheet with the data from the cube. The changes made to the edit version (working copy) of the scenario are available to users, who are not a part of the share. When you save the scenario changes, the values of the editable scenario (working copy) are merged with the base version.

Recalculate options

The recalculate options are used to perform additional checks which ensure that the edits to the scenario are valid:

  • If True, the changes are transferred to the cube for the working copy of the scenario.
  • If False, This scenario is not editable by you. Do you want to continue and discard your changes? (Yes/No) message is displayed.
    • If you select Yes, the edits are discarded and application reverts to the read-only version of the scenario and worksheet. The Recalculate and Discard Changes option is no longer visible.
    • If you select No, the recalculation or update (refresh) of the report is cancelled and the data in the worksheet is retained.
Note: The edits to the cells for which the calculation rule is defined, are discarded by OLAP and the original value is retained.

Adding notes

A note can be created when recalculating the data, which is used to detail the edits to the worksheet, for the scenario. When you use the Recalculate option, the application checks the notes (Worksheet Recalculate Notes) specified for the current cycle. To ensure that a note is added, select the Force Add Note on Recalculate option, and specify the required information in the Add Note window.

The default settings:

  • The note type defaults to the Default Note Type specified in the Worksheet Recalculate Note settings, for the cycle.
  • The severity type defaults to the Default Note Severity specified in the Worksheet Recalculate Note settings, for the cycle.
  • The summary type for the note defaults to the Default Note Summary specified in the Worksheet Recalculate Note settings, for the cycle, if generated.
Note: You can modify the default options.

If the data for the required note fields is not specified, The data you are saving is invalid. Correct the data and save again message is displayed. If you do not use the Add Note option, the recalculation of the data is cancelled. The Recalculate requires the adding of a note to describe scenario changes message is displayed. The earlier data prior to the changes is retained, but the edits are still displayed.
