Searching for notes

You can search for notes and, optionally, save the search.

To search for notes:

  1. Select one of these options:
    • Cycle or Cycle and Module > Notes
    • Process > Cycle Periods > Cycle Period Details > Notes
    • Process > Cycle Periods > Cycle Period Details > Scenarios > Scenario Details > Notes
    • Cycle or Cycle and Module > Cycle Period Details > Cycle Periods > Scenario Details > Notes
  2. Click the plus symbol [+] next to Search.
    Option Description
    Search Select an existing search from the Search field to display notes based on a previously saved search.
    For a new search selection specify or update this information:

    Note Type Select a note type from the list, based on defined note types.
    Summary Specify a brief note description on which the search can be based.
    Detail Specify additional note information on which the search can be based.
    Severity

    The severity of the note event. Select one of these options:

    • Critical
    • Warning
    • Information
    Date After Select a date to search from. Notes are displayed that are after this date. If used with Date Before, this field indicates a range to search for notes created between the entered dates, inclusive for the day specified in Date After. For example, a search after 26/05 to before 27/05 generates results created during the day of 26th. To select this option you can also, click the Calendar icon.
    Date Before Select a date to search till. Notes are displayed that are before this date. If used with Date After, this field indicates a range to search for entries created between the entered dates, exclusive for Date Before. To select this option you can also, click the Calendar icon.
    Playbook Index >= Specify a playbook index to search from. Notes are displayed with this index or higher. If used with Playbook Index <=, this field indicates a range to search for notes created between the entered indexes. For example, a search of Playbook Index >= 1 and Playbook Index <= 3 generates any notes with the index {1,2,3}. If you specify a playbook index search, notes without an index are excluded.
    Playbook Index <= Specify a playbook index to search to. Notes are displayed with this index or lower. If used with Playbook Index >=, this field indicates a range to search for notes created between the entered indexes.
    Worksheet Name Select a valid worksheet, from the list, to search for the notes.
    User Specify a user on whom the search must be based.
    Cycle Select a cycle from the list, based on defined cycles.
    Cycle Period Select a cycle period from the list, based on the running cycle period or another specified period for the cycle.
    Module Select a module from the list, based on defined modules.
    Scenarios Select a scenario from the list, based on defined scenarios.
    Item Select an item or item node from the list, based on defined item hierarchies. No selection generates all items.
    Location Select a location or location node from the list, based on defined location hierarchies. No selection generates all locations.
    Period Select a period or period node from the list, based on defined calendar hierarchies. No generates all periods.
  3. Click Search. Based on the search selection, a chronological list of notes is displayed with the details of the selected record displayed
  4. To save your search for future use, click Save. This step is only applicable for new or modified search selections.
    A Save Search window is displayed in which you can specify these fields:
    Name
    The name of the search. Specify a new name or select an existing name to update a previously defined search.
    Owner
    The owner of the search.
    Public
    Select this check box if the search is public and can be viewed by anyone or clear this check box if the search is private and is only visible to the search owner.
    Note: 
    • You can only update a search if you are the owner of the search.
    • Only users with the required security permission can create public searches.
    • The saved searches can be selected from the Search list of the Notes page.
  5. To edit a note, select a record from the notes list and click Edit. For notes of the Log format, you can update only the Playbook Index. For notes of the Freeform format, you can update the Summary, Severity, Playbook Index, and Detailed Notes. See, Adding notes.
  6. To save your note updates, click Save.
  7. Optionally, you can export notes to a playbook. Click Export Playbook.
    A playbook includes the worksheet reports along with associated (notes) texts for a cycle period that can be exported to another file format, and then used in presentations or meetings.
