Creating a quotation using the New Quotation option

  1. Select Group Quotations from the navigation pane.
  2. Click the New Quotation option. The Group Details screen is displayed.
  3. Specify this information:
    Name
    The name of the quotation.
    Type
    The type of the quotation. Possible values:
    • Tours
    • Business Meetings
    • Conference Participants
    • Wedding Parties
    • Local Event Attendees
    • Sport/Music Fans
    • Clubs And organizations
    • Other Groups
    Travel Agent Alias
    The travel agency associated with the group booking. This field is used for tracking and reporting purposes in group quotations.
    Company Alias
    The company associated with the group booking. This field is used for tracking and reporting purposes in group quotations.
    Commissionable
    Select this check box to indicate if the group booking is eligible for commission.
    Commission %
    The percentage of commission that the travel agency receives for the group booking.
    Note: This field is displayed, only if the Commissionable check box is selected.
    Applicable to
    The booking components for which a commission is applied. Possible values:
    • Room Rate Only
    • Room Rate and Packages
    • Room, Packages and Extras
    Note: 
    • This field is displayed, only if the Commissionable check box is selected.
    • By default, the Room Rate Only option is selected.
  4. Click Next. The Stay Details screen is displayed.
  5. Specify this information:
    Arrival - Departure
    The arrival and departure date of the group.
    Note: 
    • You can use the Add More Dates option to add additional arrival and departure date ranges. You can add up to five date ranges.
    • The Rooms and Extras tabs are displayed, only if the arrival and departure dates are specified.
    Room Class Preference
    The type of room product displayed in a quotation. A room product is a combination of room types * occupancy level. Possible values:
    • All Room Classes: The generic room products are displayed based on occupancy (e.g., Room Product (1 PAX), Room Product (2 PAX)).
    • Specific Room Classes: The room products are displayed, which are grouped by room class and occupancy (e.g., Deluxe Room (1 PAX), Deluxe Room (2 PAX)).
  6. Specify this information in the Rooms tab:
    Room Product
    The room type is based on occupancy level. You can select up to 4 occupancy levels for the room type.
    Note: You can use the Add Another Room Product option to add a new room product.
    Stay Dates
    The dates columns are displayed for the selected dates. You can specify the number of room products in these columns for each date.
    Note: 
    • You can use the Add Package menu to add the packages in the Show/Hide Columns section.
    • When you select the package in the Show/Hide Columns section a new column with the name of the package is added in the grid. You can select the check box in the package column to assign the package to the room product.
    • You can select the Complimentary check box to mark the room product as complimentary.
  7. Specify this information in the Extras tab:
    Revenue Category
    Select the revenue category for the extra item. This helps classify the item for reporting and accounting purposes
    Description
    The description of the extra item.
    Price
    The price of the extra item.
    Posting
    Defines how the extra is calculated in the quotation. Possible values:
    • As Total
    • Per Guest
    • Per Room
    Note: The selection impacts how the system calculates the extra charges.
    Profit Margin
    The profit margin percentage for the extra item. This helps in analyzing profitability across revenue categories.
    Note: By default, the profit margin of the selected Revenue Category is displayed.
    Stay Dates
    Select this check box to assign extras items for the selected dates.
    Note: 
    • When you add more dates, the application places them next to the existing ones and inserts a small empty grey column between them.
    • You must select at least one date for each extra.
  8. Click Quote. The quotation is created.
