Creating terms, conditions and messages

Use the Terms Conditions and Messages page to create terms, conditions and messages codes in English. Terms and conditions can be read out verbally or sent electronically. The following important points must be noted:

  • A code cannot have more than one approved record with start and end dates that overlap.
  • In Draft status, you can modify and delete the codes. When you add a code, the status is always set to Draft.
  • In Approved status, you can only deactivate the codes. Only the codes in the Approved or Draft status can be translated. Only one code by language and date range can be in the Approved status.

To create terms and conditions:

  1. Select Administration > Configuration > Terms Conditions and Messages.
  2. Specify this information:
    Code
    Specify the code and description.
    Type
    Specify the type for which you are creating the terms, conditions and messages.
    Start Date
    Specify the date on which the code goes into effect.
    End Date
    Specify the date until which the code can be used.
  3. In the Applies To section, specify the parameters based on which the code must be applied.
  4. In the Terms Conditions and Messages Settings section, specify the category and how the code must be processed.
    Sequence Number
    Specify the sequence number to be used for reporting and printing order.
    Keyword (1-5)
    Specify the keywords to be used in the Knowledge Search screen.
    Display as UI Dialog
    If this check box is selected, the message is displayed by the system as a pop-up on the screen. You can click OK on the message pop-up.
    Require Accept to Proceed
    If this check box is selected, the message is displayed by the system as a pop-up on the screen. You can Accept or Decline the pop-up message.
    Save to Reservation
    If this check box is selected, the code is sent to CRM to be printed on the confirmation and on the rental agreement.
    Print on Rental Agreement
    If this check box is selected, the code is printed on the rental agreement.
    Pub/Sub
    If this check box is selected, the record is sent to the partners who subscribe to the pub/sub.
    Display as Knowledge Search
    Select this check box to display the record in the Knowledge Search screen.
  5. In the Terms Conditions and Message Text field, specify the text of the terms conditions and messages. See Assigning print variables to the rental agreement terms and conditions.
  6. Click Approve to set the status of the code to Approved.
  7. Alternatively, click Deactivate to deactivate an existing code. You can deactivate only an Approved code.
