A data extraction definition is used to extract data from SunSystems Cloud and display the results in Microsoft Excel.

Depending on the definition type, query definitions can extract single or multiple records from the database. There are four definition types that are used to extract objects from SunSystems Cloud:

  • Reference Links return values from one record that are not aggregated.
  • Summary Links return values from one or more records that are aggregated .
  • Summary Reports create a summary of aggregated data, grouped by specific fields.
  • Detail Reports create a list of results that are not aggregated.

Data extraction definitions are stored as formulas in cells in Excel worksheets. If you focus the cursor in a cell, then the formula is displayed in the Formula Bar. If you double-click a cell containing a formula, then the data extraction dialog is displayed. You can change the query definition and re-extract the query.
