Work Management

The Work Management access group includes permissions for the functionality found in the Work Management menu.

The access group also includes a sets of permissions for each asset type. Each of these access groups has three permissions that define the actions a user can take on work orders for those asset types:

Permission Description
Add “Asset” WOAffects the Create Work Order link on the asset menu page in Asset Management, the Generate Work Order option in the Action button of the Asset InfoViewer, the Generate Work Order option in the Action button of the Scheduled Maintenance Lookup, the ability to create work orders in Work Management, and the group project functionality in both Work Management and Asset Management. For example, the Work Management > Work Order > Building > Building > Add Building WO permission affects the create ability for building assets in all of these locations.
Update “Asset” WOProvides the ability to update work orders that use the asset type. For example, the Work Management > Work Order > Building > Building > Update Building WO permission affects work orders that are for building asset types.
View “Asset” WOAffects the Lookup Work Order link on the asset’s menu page in Asset Management and the ability to open work orders that use the asset type in the Work Order InfoViewer from the Work Order Lookup in Work Management. For example, the Work Management > Work Order > Building > Building > View Building WO permission affects the Building menu page and the ability to open work orders for a building asset.

Determines whether the asset is displayed in the Asset Type lists used in both Work Management and Asset Management on forms that create work orders. For example, if Work Management > Work Order > Building > Building > View Building WO is cleared, then Building is not available on the Asset Type list in Create Work Order. It is still available, however, in Lookup Work Order.

This table describes the access groups under Work Management in the Permissions tree:

Activity Details Grants access to each activity detail type set up in the system.
Group Project Affects the Create Group Project and Lookup Group Project items under Work Order in the Work Management menu.
Resource Manager Affects the Resource Manager item in the Work Management menu.
Setup Includes access groups that provide rights to set up code definitions in the Work Management system, such as crew type, tool, and unit of measure.
Setup > Activity Workflows Affects the Activity Workflow item under Setup in the Work Management menu.
Setup > Standard Work Order Affects the Create Standard Work Order and Lookup Standard Work Orders items under Setup in the Work Management menu.
Setup > Work Order Approval Types Affects the Create Approval Type and Lookup Approval Types items under Setup in the Work Management menu.
Work Order > Building Provides add, update, and view access for building assets. Includes Building.
Work Order > Change Activity Code Provides the ability to change the activity code on a work order.
Work Order > Close Work Order Provides the ability to close a work order.
Work Order > Configured Assets Provides add, update, and view access for each configured asset an agency creates.
Work Order > Cost Viewer Affects the Work Order Cost Viewer item under Work Order in the Work Management menu.
Work Order > Create Work Order Affects the Create Work Order item under Work Order in the Work Management menu.

Affects the ability to create new work orders in various forms in the Work Management system, such as the Group Project InfoViewer.

Note: This does not affect the Create Work Order link under Asset Inventory on the asset menu pages.
Work Order > Delete Work Order Provides the ability to delete a work order.
Work Order > Fleet Provides add, update, and view access for fleet assets. Includes Fleet Equipment and Vehicles.
Work Order > Industrial Waste Provides add, update, and view access for industrial waste assets. Includes Industrial Waste Backflow Preventer, Main, Manhole, Miscellaneous, Node, and Service Line.
Work Order > Log Affects the log entry functionality in the Work Order InfoViewer.
Work Order > Lookup Work Order Affects the Lookup Work Order item under Work Order in the Work Management menu.
Work Order > Park Provides add, update, and view access for park assets. Includes Park.
Work Order > Planned Task Affects the Planned Tasks functionality on the Planned Tasks tab of the Work Order InfoViewer.
Work Order > Plant Provides add, update, and view access for plant assets. Includes Plant Facility, Fluid Storage Unit, Equipment, and Miscellaneous.
Work Order > Railway Provides add, update, and view access for railway assets. Includes Railway Appurtenance, Bridge, Crossing, Segment, Sign, Signal, Station, and Yard.
Work Order > Reservoir Provides add, update, and view access for reservoir assets. Includes Reservoir Embankment, Instrument, Miscellaneous, Spillway, StorageBasin, and Reservoir.
Work Order > Resource Usage Affects the Resource Usage feature in the Work Order InfoViewer and other forms. Includes access groups for each resource usage type, such as estimates, job class, service contract, and tool.
Work Order > Roadway Provides add, update, and view access for roadway assets. Includes Roadway.
Work Order > Sewer Provides add, update, and view access for sewer assets. Includes Sewer Backflow Preventer, Lift Station, Main, Manhole, Meter, Meter Component, Meter Register, Miscellaneous, Node, Pump, Service Line, Treatment Plant, and Valve.
Work Order > Solid Waste Provides add, update, and view access for solid waste assets. Includes Waste Container.
Work Order > Storm Provides add, update, and view access for storm assets. Includes Storm Backflow Preventer, Channel, Intel, Levee, Lift Station, Main, Manhole, Meter, Meter Component, Meter Register, Miscellaneous, Node, Pump, Service Line, Storage Basin, and Valve.
Work Order > Street Provides add, update, and view access for street assets. Includes Street Bridge, Culvert, Intersection, Landscape, Sidewalk, Appurtenance, Light, Segment, Sign, Signal, Support, and Tree.
Work Order > Update Work Order Provides the ability to edit/update a work order.
Work Order > Usage Area Provides add, update, and view access for usage area assets. Includes Complex and Usage Area.
Work Order > Usage Costs Affects the Total Cost column in the Resource Usage grid of the Work Order InfoViewer.

Also includes extra item, fleet equipment, labor, materials, plant equipment, professional services, tool, and vehicle permissions that show/hide the total cost column when adding/editing usage records of the indicated type. For example, the Tool permission shows/hides the Total Cost column when adding/editing tool usage.

Work Order > Usage Rates Affects the Rate column in the Resource Usage grid of the Work Order InfoViewer.

Also includes extra item, fleet equipment, labor, materials, plant equipment, professional services, tool, and vehicle permissions that show/hide the rate column when adding/editing usage records of the indicated type. For example, the Tool permission shows/hides the Rate column when adding/editing tool usage.

Work Order > Water Provides add, update, and view access for water assets. Includes Water Backflow Preventer, Hydrant, Main, Meter, Meter Component, Meter Register, Miscellaneous, Node, Pump, Pump Station, Service Line, Storage Unit, Treatment Plant, Valve, and Well.
