Correspondence output

After all the necessary setup information is in place, correspondence output is handled by the Infor Public Sector Batch Manager, and is mostly an automatic process.

Correspondence output is in three stages. First, when completing a batch process that includes correspondence, Infor Public Sector adds a correspondence schedule. The schedule is a record indicating that a set of correspondence is ready to be generated. For example, the schedule for a delinquency run would indicate the delinquency run number and the correspondence process setup to be used for the output. You can use Lookup Correspondence Schedules to review existing schedules.

The second and third stages are to create the correspondence and then send it. These steps can be scheduled to run together, or they can be separated by one or more days. For example, you might want to send correspondence two days after it is created so that you have time to check the output for errors. You define these intervals in Correspondence Process Setup, by entering the appropriate number of days in the Create After Days and Send After Days fields.

To create and send correspondence, you must set up a Correspondence Schedule task in the Batch Manager. This task runs at regular intervals and executes the next step in the output process for each eligible schedule.

Note: You should only set up one Correspondence Schedule task in the Batch Manager. This task handles the output for all types of correspondence.

For example, suppose you have set up a delinquency run process to create correspondence after two days, and then send the correspondence after another two days. When a schedule is added, Infor Public Sector will wait two days and then create the correspondence the first time the Correspondence Schedule task runs after the two days have passed. When the task runs again after another two days have passed, Infor PS will send the correspondence.
