Defining an employee's access level

You can provide an extra level of security to a budget by assigning access rights to the budget's organizational levels. You can specify which users can change a level's allocation amounts and which users can only view the level's allocations. You can also prevent a user from viewing or changing a level's information by not granting the user access to budget records when you set up access control.

Note: You can only define access rights for users who are assigned to roles in Access Control that have the permission to view budgets. Users who have been assigned to roles that have permission to update budgets can change budget allocation information regardless of the access level assigned in the budget.
  1. Load the budget you want into the Budget InfoViewer. You access the Budget InfoViewer by clicking the Budget ID link for the budget on any form that shows the link.
  2. On the Organizational Hierarchy tab, browse to the organization level whose access rights you want to define for an employee.
  3. Right-click the "Organizational Level" node and select Change Access Level.
  4. Click Add above the grid.
  5. Specify the employee's identification code in the Employee ID field.
  6. Select the employee's level of access to the organizational level from the Access Level list.
    You can select either View or Change. If you select View, the user can view a level's budget allocations and expenditures but cannot change the budget allocation amount or allocation budget numbers for a level's budget categories. If you select Change, the user can change the allocation amount and allocation budget numbers for all of the level's budget categories.
  7. Click Save.
    Infor Public Sector updates the budget with the new access rights.
