GL account overrides

If a transaction meets certain conditions, the system will override the GL accounts that you have specified for the transaction type and amount. These conditions are hard coded and cannot be changed. The overrides are identified by number.

If a transaction meets one of the conditions for an account override, the identification number is shown in the GL simulator. These are the numbers that are used:

  1. Payment adjustment transactions: If the transaction is adjusting a payment transaction that was sourced from a principal apply transaction or an overpayment apply transaction, and the payment adjustment does not specify the same reference transaction number as an overpayment credit with the inverse value, then credit the Overpayment GL account.
  2. Payment adjustment transactions: If a transaction without an associated payment key is adjusting a payment transaction without a payment key that was sourced from an applied credit account adjustment without a payment key, then credit the Overpayment GL account.
  3. Payment transactions: If the transaction was sourced from an apply on the same account, then debit the Overpayment GL account and credit the Receivable GL account.

    Account adjustment transactions: If the transaction was sourced from a transfer transaction from another account, then debit and credit the Washing GL account.

  4. Penalty payment transactions: If the transaction was sourced from an overpayment apply transaction on the same account, then debit the Overpayment GL account.
  5. Deposit payment adjustment transactions: If the transaction references a deposit payment transaction on the same account, and neither transaction has a payment key, then credit the Overpayment GL account.
  6. Deposit payment adjustment transactions: If the transaction was sourced from a deposit that was transferred from another account, then debit and credit the Washing GL account.
  7. Deposit adjustment transactions: If the sum of deposit apply transactions for the same line item is the inverse of the amount of the deposit adjustment transaction, then debit and credit the Washing GL account.

    This condition is met if a paid deposit is adjusted and the full credit amount from the adjustment is applied elsewhere, typically back to the account as an overpayment.

  8. Deposit payment transactions: If the transaction was sourced from a deposit apply transaction, then debit the Overpayment GL account and credit the Receivable GL account.
  9. Deposit payment transactions: If an account apply transaction is found on the account that did not apply its credit to an account transaction, and that has the inverse transaction amount, and that has a date/time within 30 seconds of the deposit payment date/time, then debit the Overpayment GL account.

    This condition is met if a paid deposit was sourced from a credit on an account transaction, such as an overpayment or a credit account adjustment.
