Updating address account fields

If your agency is using Infor Public Sector Utility Billing, addresses are typically linked to utility accounts. You can use the Address InfoViewer to specify certain default values that will be used for any account created at the address, such as a default billing cycle. The information that you enter is stored in the BILLING.ADDRESSACCOUNTFIELDS table, and linked to the address record through the address key.

You can also specify the maximum number of owner accounts and the maximum number of tenant accounts that can be active at the address. Usually only one active account is allowed per address, but there may be cases where multiple accounts are required, such as a multi-unit address without separate apartment or suite numbers. For the same reason, you can also allow duplicate services at an address.

  1. Load the address record that you want into the Address InfoViewer.
    You access the Address InfoViewer by clicking the Street Name or Address link for the address on any form that shows the link or by right-clicking the address's node in the Contact and Property Browser and selecting Open Address.
  2. On the Services tab, enable editing in the Account Fields grid.
  3. Specify the default values that you want to use for accounts at this address. You can specify a default billing cycle, account class, area, group, and sub group.
  4. To allow more than one active account at the address, enter the maximum number of owner accounts in the Max # Owners field, and the maximum number of tenant accounts in the Max # Tenants field.
    If you allow multiple owner or tenant accounts at an address, the functionality that transfers services between owner and tenant accounts is disabled. For example, when a tenant moves in, any services that are designated for both owner and tenant accounts will typically be transferred from the owner account to the new tenant account. However, if multiple tenants are allowed, Infor Public Sector has no way to determine which tenant account the owner account's services should be transferred to. You must stop the service on the owner account and start the service on the appropriate tenant account manually.
  5. To allow more than one service of the same type to be active at this address, select the Allow Duplicate Services check box.
    If you allow duplicate service for an address, there is no upper limit to the number of services that can be added. There is also no limit on the number of services per service position.
  6. Click Save.
