Scheduling a usage group

A usage group is a collection of employees, vehicles, and equipment that can be scheduled for work orders, group projects, service requests, and asset inspections.

  1. Load a work order, group project, service request, or asset inspection in the appropriate InfoViewer.
  2. On the Schedules tab, under the type of resource that you want to schedule, click Add above the grid.
    Note: In the Work Order InfoViewer, you can also select the Summary tab and click Add Scheduled Resource in the Quick Links panel. The Schedules tab is only displayed in the Work Order InfoViewer if the current work order already has resources scheduled.
  3. Select Usage Group from the Schedule list.
  4. Specify search criteria to locate available usage groups.
    You can search for available usage groups based on the identification code of the usage group, the type of usage group, and available dates and times. Times should be specified in the 24-hour format, such as 16:00 for 4:00 PM. To schedule usage groups outside of their normal working hours, select the Include Non-Working Hours check box
  5. Click Next.
    Infor Public Sector shows a list of usage groups that match your search criteria. If you didn't specify a date range, Infor Public Sector shows all usage groups that are available for the next month.

    For service requests and work orders, the available dates also depend on the scheduling options for the service request type or the activity type. For example, if the Weekends check box is not selected for a service request type, then the list of dates does not include weekends. Similarly, if the Workdays Only check box is selected for an activity type, then the list of dates does not include weekends or days that your agency has identified as holidays.

  6. In the Schedule Information grid, select the date and time for the usage group that you want to schedule.
    To see a list of all the resources in the usage group and any conflicting scheduled work or leave, click the Time Range link. Infor Public Sector shows any work orders, group projects, service requests, employee leave, or other conflicts for the resources during that time period. You can select a usage group that has only partial availability, but you must schedule replacements for any resources that are scheduled for other work.
  7. Click Next.
  8. In the From and To fields, specify the time period you're scheduling the usage group for.
  9. Specify any other information about the work in the "Comments" field.
  10. Click Schedule Schedule button.
    Infor Public Sector closes the dialog box and adds the usage group's resources to the appropriate grids on the schedule popup. The resources are now scheduled to work or be used during the indicated hours. They can't be scheduled for any other work during those hours.
