Batch Manager tasks

The tasks that you can set up in the Batch Manager will vary depending on the Infor Public Sector modules your agency has purchased. The tables below describe each of the tasks that may be available in the Batch Manager.

Task Description
Certify Addresses Performs CASS validation on addresses in your database. Note that you can also use CASS Tasks to run this task manually. This task is typically run on a monthly or quarterly basis.
Certify Contacts Performs CASS validation on contacts’ mailing addresses. Note that you can also use CASS Tasks to run this task manually. This task is typically run on a monthly or quarterly basis.
Correspondence Schedule Executes the next step in the correspondence output process for each eligible schedule. This can mean creating correspondence that is ready to be created, or sending correspondence that was created in a previous correspondence run. Correspondence Process Setup is used to define the number of days before scheduled correspondence is created or sent. This task is typically run every two minutes throughout the day.
Formula Executes a specified formula. Enter the formula you want to run in the Formula field under Condition.
GIS Feature Synchronization Synchronizes data between Infor Public Sector and your GIS. This task compares the two databases based on the mappings that your specify, identifies inconsistencies such as orphans and data mismatches, and updates records in either database as needed.
Move Updates Checks every contact’s mailing address to see if there has been a forwarding address submitted to the USPS. Updates mailing addresses as required. Note that you can also use CASS Tasks to run this task manually. This task is typically run once a month.
Purge System LogsDeletes old log entries after a specified number of days.

This task is enabled by default in a multi-tenant environment, and cannot be modified or disabled.

Routing Creates routes for specified employees. Each route lists an employee's work assignments for a specified date and the order in which they are to be completed.

Asset and Work Management tasks

Task Description
Calculate Average Monthly Usage Calculates the average monthly usage for assets that support usage tracking and that can store the average monthly usage, such as water meters, vehicles, and equipment. An asset type is required as a task condition, and you can also enter a unit type as an additional parameter.

The default algorithm for this task first calculates an average daily usage for the past 365 days, or since the asset's installation. The algorithm then multiplies the average daily usage by 365 and divides it by 12 to determine the average monthly usage.

You can also enter a formula in the Calculation Formula field if you want to use something other than the default algorithm. For example, the default algorithm does not consider rollovers, so you must write your own formula if you want to include rollovers in the calculation.

Group Inspection Schedule Creates inspections based on a group inspection schedule. After you enter an asset group, asset type, and inspection type, you can click View Matching Schedules to see any existing schedules that match those parameters. In the Days in Advance field, enter the number of days before the scheduled date that you want to generate inspections.
Group Maintenance Schedule Creates work orders based on a group maintenance schedule. You can click View Matching Schedules to see any existing maintenance schedules that match the asset group and activity you enter. In the Days in Advance field, enter the number of days before the scheduled date that you want to generate work orders.
Inspection Schedule Creates inspections based on an inspection schedule. To create inspections for a specific asset, select the correct asset type from the Asset list and enter the unit ID. You can also create inspections for all assets of the selected type by leaving the unit ID blank.

After you do enter an asset ID, you can click View Matching Schedules to see any existing schedules that match those parameters. In the Days in Advance field, enter the number of days before the scheduled date that you want to generate inspections.

Movement Data Creation Generates movement data for asset valuations. Movement data is stored in the ASSVALMOVEMENT table, and shows the change in an asset's value over time. In the Reports Manager, Infor Public Sector includes an out-of-the-box Movement Detail report that you can use to show movement data in Lookup Asset Valuations.

You can enter conditions in the Valuation Group, Book ID, and Valuation Number fields to select the valuations for which movement data will be created. If you leave these fields blank, the task will generate movement data for all valuations.

Each movement record covers changes in a valuation over a specific accounting period. For each valuation that matches the task conditions, the task will add a movement record for each accounting period in which depreciation occurred, from the date of the most recent movement record to the last recalculation date. If a valuation has no last recalculation date, then no movement data is created.

Note: This is a multithreaded task. The Number of Task Threads attribute in the Batch Manager configuration sets the number of threads the Batch Manager will use when creating movement data.
Movement Data Delete Deletes asset valuation movement data from the ASSVALMOVEMENT table. To recreate movement data for one or more accounting periods, you must first delete the existing records.

You can enter conditions in the Valuation Group, Book ID, and Valuation Number fields to select the valuations for which movement data will be deleted. Enter the date from which you want to delete movement records in the Delete From Date field. The task will delete all movement records from that date forward. If you leave this field blank, then the task will delete all existing movement data for the selected valuations.

Unit Maintenance Schedule Creates work orders based on a unit maintenance schedule. You can click View Matching Schedules to see any existing maintenance schedules that match the asset and activity you enter. In the Days in Advance field, enter the number of days before the scheduled date that you want to generate work orders.

Meter Management tasks

Task Description
Calculate Cycle and Route Average Consumptions Calculates average annual consumption for cycle/route meters for a specified date range. This task is typically run once a year.
Meter Export Run Exports meter records for one or more reading routes so that readings can be entered in an external system. The export process uses an XML template to create a data file listing the meters for which readings are to be recorded. After readings are added, the meters can be re-imported in a meter import run.
Meter Import Run Imports meter readings from one or more data files. The import process uses a keyword-based template to match the data in the import file to the right tables and columns in the Infor Public Sector database.
Water Meter Reading Review Run Reviews the readings for a cycle or route and stores the results so they can be looked up in Review Readings. You can select one or more options to indicate how you want to compare readings. Note that these are the same comparison options that are displayed in Review Readings.

License-Renewal Renews eligible licenses.
Planning-Process Next Milestone Advances all eligible planning applications to the next milestone.
