Correspondence schedules

A correspondence schedule is a record indicating that a set of correspondence is ready to be generated.

Each time a process that involves correspondence output is completed, a correspondence schedule is added. For example, when a delinquency run is completed, a schedule is added indicating the delinquency run number and the correspondence process setup to be used for the delinquency notice output. Use Lookup Correspondence Schedule to review and process these schedules.

After a correspondence schedule is added, the correspondence is created and sent in two separate stages. You must also set up a Correspondence Schedule task in the Batch Manager. Each time it runs, this task executes the next step in the output process for each eligible schedule.

Note: Only one Correspondence Schedule task should be set up in the Batch Manager. This task handles the output for all types of correspondence.

Eligibility to have the next step completed is determined by the number of days entered in the Create After Days and Send After Days fields in Correspondence Process Setup. For example, if the setup for your delinquency run process has a two in each of these fields, correspondence is created after two days and sent after another two days.

When a schedule is added, the values in Correspondence Process Setup are used to calculate the dates on which the correspondence will be created and sent. In Lookup Correspondence Schedule, these dates are displayed in the Create Date and Send Date columns in the Correspondence Schedules grid. The first time the Correspondence Schedule task runs on or after the create date, the correspondence is created. When the task runs again on or after the send date, the correspondence is sent.

The Status column in the Correspondence Schedules grid indicates the current status of each schedule. The status can be one of these values:

  • Processing: The schedule is currently being processed by the Batch Manager.
  • Creation Pending: The correspondence is ready to be created.
  • Created: The correspondence has been created but not sent.
  • Sending Pending: The correspondence is ready to be sent.
  • Sent: The correspondence has been sent.
  • Canceled: The schedule was canceled by the user.
  • Error: An error occurred while the schedule was being processed.
  • Create Exception: The Batch Manger returned an exception while creating the correspondence. You can review the exception in the Exception column.
  • Send Exception: The Batch Manger returned an exception while sending the correspondence. The exception can be reviewed in the Exception column.

Click Resend to repeat the most recent stage for a selected schedule, and click Cancel Notice to cancel a schedule.
