Taking a payment
When you load one or more charges in the Cash Register, the Take Payment tab is displayed. Use this tab to accept the customer's payment. Depending on the charge type and the cash register settings, you can accept up to six different tender types: cash, check, credit, debit, escrow, and miscellaneous.
- Log into the Cash Register and load the charges that the customer is paying.
- Select the Take Payment tab.
-
Select the correct tender type from the Payment Method list.
Infor Public Sector automatically selects all charges that can be paid with the selected tender.
-
Specify the payment amount in the Amount field.
When you first select a payment method, the Amount field shows the total balance due that can be paid with that method. You only need to specify a payment amount if it isn't equal to the amount that is displayed.
-
Provide any other information that is required for the selected
payment method.
Note: If a payment terminal is configured for the cash register, the Terminal button is displayed when you select credit or debit as the payment method. Instead of entering the credit or debit card information, click Terminal to send a request for payment to the terminal. The payment terminal is then used to read the customer's card and request authorization. If the payment is authorized, the terminal sends a response back to the Cash Register and the payment is added.
- For checks, specify the check number, the name of the account holder, and the customer's identification number, such as a driver's license number. You can also specify the name of the bank, the routing number, and the account number. Infor Public Sector stores the routing and account numbers in an encrypted format. If your register has an MICR reader for checks, you can enter the account information by running the check through the reader.
- For credit payments, specify the type of credit card, the card number, the expiration date, and the account holder's name. If your agency uses a merchant account to process credit card transactions, the Secure Socket Layer (SSL) protocol protects the customer's information. Infor Public Sector stores only the card holder's name and the card's last four digits and expiration date. If your register has a magnetic stripe reader, you can enter the account information by running the card through the reader.
- For debit payments, specify the debit card number and the account holder's name.
- For escrow payments, specify the
number of the escrow account that is being used to make the payment.
When you specify an escrow account number, Infor Public Sector shows the account's current balance and the
maximum amount that can be paid from the account. Note: Minimum balances for escrow accounts are not enforced in Cashiering, so you can accept a payment that drops an escrow account below its minimum. However, you cannot accept an escrow payment that drops the account balance below $0.00.
- Miscellaneous tenders are forms of payment that aren't covered by the other tenders, such as vouchers, credit slips, certificates, coupons, or food stamps. You can enter the specific type of payment in the Payment Type field.
-
Click Accept Payment.
Infor Public Sector adds the payment and shows an acceptance message in the Status. Infor Public Sector also shows the payment on the Payment Summary tab. Note that the Payment Summary tab is not displayed until you add at least one payment.
- Select the Payment Summary tab if you want to review or adjust how the payment is applied to the charges.
-
If you're ready to complete the transaction, click Receipt.
Infor Public Sector completes the transaction, clears the Cash Register, and returns you to the Find Charge tab. Infor Public Sector also shows the Transaction Receipt dialog box, which shows a preview of the receipt. Click Print to print the receipt.
