Example of a complex asset inspection

In accordance with its facilities management program, a public works department must inspect all of its buildings every year. This agency must inspect multiple aspects of each building in one inspection: HVAC system, ADA Compliance, Security, and Lighting. The inspection must include an evaluation of each of these components, calculate a score for each component, and calculate an overall score for the entire building.

To meet these requirements, the agency has created an inspection called Building, which has multiple indexes defined. The inspection includes a detail page to record extra information about the inspection itself. On the Inspection Type form, the setup person defines various defect types that represent what must be observed for each component of the building as observation codes. For each observation code, the setup person defines three severities: low, medium, and high.

The setup person defines indexes using the Inspection Indexes form. He defines an index for each defect type, and then a higher-level index that represents the surface condition of the building.

When Molly, the inspector, is ready to enter inspection information for the first building, FAC-670, she creates an inspection using the building Create Inspection process. An inspection form is presented and the individual observations of each defect type can be entered for each component of the building. Reading from an inspection form filled out earlier at the site of the inspection, Molly enters individual observations for each defect type for each component of the building.

Molly will create building inspections for the buildings she inspected, as will the other inspectors. When all the inspections are created, the agency can use Crystal Reports to generate a list of buildings in order of condition index. This information will also help the agency to prioritize building maintenance work.
