Maintaining general ledger accounts

  1. On the sidebar, select General Ledger Interface > Account Maintenance.
  2. To create a new account, click New.
  3. To maintain an existing account, specify your search criteria.
  4. Click Search.
  5. In the Results panel, select an account to modify.
  6. Specify this information:
    Ledger
    Specify the code of the selected ledger. Optionally, you can click the search icon to select an existing ledger code.
    Note: This field is only enabled when creating a new account. If the wrong ledger is assigned to the account, delete the account and recreate the account with the correct ledger.
    Account

    Specify the name or number of the general ledger account associated with the selected ledger. The combination of ledger and account number must be unique.

    Description
    Provide a full description of the account.
    The Line Item field is included on the general ledger exported transactions.
    Posting Account
    Select this check box to post transactions to the selected account. If this check box is cleared, then transactions are not directly posted to the selected account.
    Active
    Select this check box to set the account as active.
    Note: You can only clear this check box if there are no associated links to the selected account. If the account is used in any parameters, then this check box is disabled.
    Taxable
    Select this check box to calculate the tax of GL type receipts taken against this account at the tax rate specified against the GL default bank account.
    If this check box is cleared, then the receipts taken against this account do not have tax calculated.
    Non-taxable Type
    Specify a non-taxable type if the Taxable check box is cleared. Australian sites should select GST Free and Division 81 non-taxable types.
    Current Period Budget
    Specify the amount of budget expenditure during the current budget period.
    Remaining Period Budget
    Specify the budget amount remaining for the current budget period.
    Current Annual Budget
    Specify the annual budget allocation.
    Remaining Annual Budget
    Specify the budget amount remaining from the annual allocation.
  7. Click Save.
