Modifying existing memos
If a memo exists on a record in Pathway, a value is displayed beside the Memo option under the Options menu.
- Select a record containing an existing memo. For example, on the sidebar, select Applications > Application Maintenance > S - Subdivisions.
- In the Subdivisions Search Profile form, specify your search criteria.
- Click Search.

Select Options > Memo.
All existing current memos are displayed and grouped under their appropriate memo types and memo groups. Urgent memos are denoted by the urgent icon.

In the Memo Selection form, select More > Modify.
Note: To enable this button, ensure that the Change check box is selected for a memo type.

To view the memo type details, click Display.
Optionally, you can create a new memo by clicking New.
- Specify this information:
- Precis
- Specify the summary of the memo. This text is displayed on all memo selection screens. You can specify a maximum of 50 alphanumeric characters.
- Detail
- Specify the memo text. You can copy and paste the text from the Precis field.
- Effective From
- Specify the start of effective date. You can override the default date displayed in this field, which is the current date. Urgent memos that are not yet effective are not displayed on the Urgent Memos dialog.
- Effective To
- Specify the end of effective date. You can override the default date displayed in this field, which is the effective for period specified in the memo type parameters.
- You can use this field to modify the reporting and purge functions to make certain memo records available for selection. Urgent memos that are not yet effective are not displayed on the Urgent Memos dialog.
- Termination Date
- Specify the termination date. You can override the default date in this field, which is the terminate period defined in the memo type parameters. You can use this field to modify the reporting and purge functions to make certain memo records available for selection.
- Urgent
- Select this check box to set the memo type as urgent. The default value of this field is defined from the particular memo type.
- Scope
- Specify the scope of the particular memo. You can select one of these options:
- Record: Apply the memo to the particular application record being maintained. For example, the memo is applied to a particular name record.
- Application: Apply the memo to all records within the specified application. For example, the memo is applied to all name records.
- Data Type
- Specify the data type to link attachments to a basic text memo. Inactive data types at the system level are not displayed. After a data type is specified for a memo and saved, the data type cannot be changed.
- File Reference
- Specify the path to a file on the server.
- Click Save.
