Assigning location access to users

When you perform activities on a handheld terminal or the web, the application records the specific location where that activity occurs. The Materials Staff may operate in one or two locations, while delivery clerks may be delivering across several companies and hundreds of locations.

Administrators control location access using the Assign Access to Locations function.

This assignment serves two purposes:

  • It restricts users to perform tasks to a discrete number of locations— for security.

  • It reduces that amount of information that is displayed to the user, simplifying the system interactions allowing them to not have to navigate irrelevant locations and departments.

  1. On the Add New User page, click Assign Access.

    The Assign Access to Locations page is displayed.

  2. Specify this information on the Assign Access to Locations page to assign user access to company locations:
    Global Access

    A user can have Global Access, which means that they have access to all companies and locations. Any user with Global Access can grant Global Access to other users. If a user does not have Global Access, the Global Access check box does is not displayed.

    Note: 

    In a multi-company installation it would be rare to assign global access to a user who is not an administrator.

    Company

    Locations are assigned one company at a time. The Company list shows all companies to which the user has access.

    System Locations

    As an administrator, you can grant a user can two levels of access per company:

    • All Locations: All current locations for the company, as well as any locations that are added in the future. The All Location option is not displayed if the current user has access to all locations for the company.

    • Specific Locations: Only the individual locations that are selected. Only the locations that the current user has access to will display. Any new locations added will have to be assigned manually before the user has access to them.

  3. Click OK after selecting the locations you want to grant the user access to within a company.

    The locations are added to the User’s Locations list. If you want to remove locations that the current user should not have access to, check the location and click Remove.

  4. Click Done when you are finished granting access to locations for the current user.
  5. Click Cancel to close the window without making any changes.
