Turning on Out of Office for another user

To turn on Out of Office status and specify delegation preferences for another user:

  1. Select Menu from the Inbox application.
  2. Open the Other users settings tab.
  3. Start typing the name of a user in the Set settings for field. Select a user name from the list.
  4. Select the Apply delegation rules during this time range check box to specify a Start Date and an End Date when the setting must automatically start. If you do not specify a start date or you select a date in the past, the period starts immediately. If you do not specify an end date, the user’s status remains on until you or the user reset it manually.
  5. To delegate activities, select the Unassign and delegate assigned activities check box. Activities assigned to the selected user are automatically marked as unassigned, and delegation rules are applied at the moment you turn on the Out of Office status. If you do not select this check box, the assigned activities remain invisible to other users during the user’s absence.
  6. Ensure that at least one delegation rule is created and active. To edit delegation rules:
    1. Click + to create a new delegation rule. A new rule is created at the end of the list.
    2. To specify the details of the new rule, select Apply this rule to and turn on the Tasks or Alerts toggle to create a more specific rule that applies only to alerts or tasks. You can also apply the same rule to tasks and alerts at the same time.
    3. Optionally, specify a string for the Containing field. Only tasks or alerts that contain the string specified in this field are delegated when this rule is applied. You can leave this field blank, indicating that the rule applies to all activities of the type you selected.
      Note: The server locale applies to the Containing field.
    4. Start typing the name of a delegate in the Delegate to field. Select a user name from the list.
    5. Turn on the Activate this rule toggle to indicate that this delegation rule must be used.
    6. The delegation rules are applied in the order they are defined. Select a rule and use the up and down arrows to place the rule in another position in the list.
    7. To remove a delegation rule, select the rule and click the X icon.
  7. Click Save from the application bar to save these settings. You can also click Revert to discard your unsaved changes.
  8. Click Turn On from the banner to set user’s status to on.
