Define Work Schedule for Time and Attendance and Manufacturing Order Processing

This document explains how you create general work schedules, which are used as the basis for creating individual employee calendars. These normally contain such information as the number of hours to be worked, which breaks are valid and a replacement schedule, if any.

Outcome

One or more work schedules are created and can be reviewed in 'Work Schedule. Open' (CRS515).

The following files are updated:

  • Work schedules (PAIWSC)
  • Work schedule periodicity (PAYWSS)
  • Replacement schedules (PAZSTI).

Work schedules are used as a foundation when building individual employee calendars in Time and Attendance. Thus, less time has to be spent creating individual employee calendars.

Work Schedules must also exist if Manufacturing Order Processing is used.

Before you start

Follow These Steps

  1. Start 'Work Schedule. Open' (CRS515).

  2. On the B panel, set the panel sequence.

    This instruction is based on panel sequence E12FG.

  3. Enter the year for which the work schedule is to be valid and the work schedule number. Select the Create option.

    The work schedule number can consist of eight characters.

  4. On the E panel, enter the name (required) and a description of the work schedule.

  5. Enter the number of work hours per workweek and the work hour type.

  6. Enter the work hour percentage, capacity utilization rate and workday percentage.

  7. Enter the year and number of the basic schedule to be connected to the work schedule.

  8. Enter the number of days after which the schedule string is to be repeated in the 'Interval – number of days' field.

  9. Enter the valid dates for the replacement schedule. Press Enter.

    'Work Schedule. Enter Intervals' (CRS516/B) is called.

  10. To enter intervals, enter the number of the week in the schedule string. Select Create.

  11. On the E panel, select one of the following alternatives:

    • If this is a work schedule that is connected to a basic schedule, continue with the next step.
    • If this is a work schedule that is not connected to a basic schedule, Select the work hour definitions for all days (see instructions below).
  12. Select the work hour definitions for all days but Saturday and Sunday. Change the default number of hours if necessary. Press Enter and continue on the B panel by pressing Finish ('Work Schedule. Open Replacement Hours' (CRS517) is called.).

  13. Select the work hour definitions for all days. Change the default number of hours if necessary. Press Enter and continue on to the next step.

  14. On the B panel, press Finish.

    'Work Schedule. Open Replacement Hours' (CRS517) is called.

  15. On panel (CRS517/B), enter the work hour definition that you want to replace, that is, the original work hour definition. Select Create.

  16. On the E panel, enter the replacing work hour definition. Press Enter.

  17. On the B panel, press Finish.

    'Work Schedule. Open' (CRS515/F) is called.

  18. On panel (CRS515/F), enter the date on which you want this schedule to be created and the last date to be covered by the schedule.

  19. Enter the date from which you want week one to start. Press Enter to generate the schedule.

  20. On the G panel, review the schedule. Press Enter.

    You can see each month by specifying the month number (for example, 1 for January, 2 for February, etc.) and pressing Enter.

Parameters to Set

Program ID/Panel Field The field indicates …
(CRS515/E) Work hour type

… the type of work hours.

The valid alternatives are

1=Full-time

2=Part-time

3=Intermittent part-time (the employee has days off on normal workdays).

This field is required for payroll calculations, for example.

(CRS515/E) Work hour percentage … the percentage of full-time work hours.
(CRS515/E) Capacity utilization rate

… the percentage of full-time work hours that the employee actually works.

It is often the same as the work hour percentage. For example, if an employee works 38 hours of a 40-hour workweek, his/her capacity utilization is 95% and the work hour percentage is 100%.

This value in this field is used to calculate vacation pay.

(CRS515/E) Workday percentage

… the percentage of the average number of workdays per week.

For instance, if the employee works four days a week, the workday percentage would be 80%.

(CRS515/E) Basic schedule number

… the year and number of the basic schedule to be connected to the work schedule.

If you have defined this schedule as a basic schedule, leave these fields blank.

(CRS515/E) Interval – number of days

… the number of days after which the schedule string is to be repeated.

This interval must be expressed in whole weeks, that is, be divisible by seven.

(CRS515/E) Start/End date – replacement schedule … the dates between which the replacement schedule is to be valid.
(CRS516/B) Week

… the number of the week in the schedule string.

This number is not related to the calendar's week numbers.

(CRS515/F) From date … the date on which you want this schedule to be created, that is, the date on which you want the run that creates the schedule to start.
(CRS515/F) To date

… the date to which the schedule should be created.

For example, if you want this to be a six-month schedule and you enter starting date January 1, 2001, you should enter June 31, 2001 in this field.

(CRS515/F) Start of week 1

… the date from which you want week one to start.

If you intend to create this schedule to correspond with the calendar year, enter the first Monday of the calendar year.
