Review Employee Schedule, Flex Schedule and Overtime Rights in Time and Attendance

This document explains how you review the following for a particular employee and schedule date:

  • His/her schedule.
  • His/her flex schedule, which states whether an employee has flex rights.
  • Whether overtime and miscellaneous time can be calculated for the employee, and if so, between which times.

You can, for example review these elements when you want information about how times can be calculated for an employee and a particular date.

Outcome

You have extracted the following information from the schedule date that you reviewed:

  • Whether attendance, flex, overtime and miscellaneous time can be calculated for an employee and if so, between what times.
  • From which time types overtime, miscellaneous time and shorter work hour are calculated and the priority these time types have in relation to each other.
  • The employee group and work hour group to which the employee belongs.

It is easier to review the calculated times when you know why they were calculated the way they were.

You can, if necessary, change the settings that determine when times can be calculated for employees. You can, for example, connect an employee to another time definition for overtime.

Before you start

Follow These Steps

  1. Specify Employee and Schedule Date

    Start ‘Clock In/Out Transaction. Display Schedule Day’ (TMS310/A).

  2. Specify the employee and schedule date you wish to review. Press Enter.

  3. Select What You Want to Review

    Select to review one of the following on the E panel:

    • Go to Review an Employee’s Schedule Details to review certain schedule details for an employee.
    • Go to Review Overtime and Miscellaneous Time Details to review whether overtime and miscellaneous time can be calculated for an employee and when.
    • Go to Review Flex Details to review whether, and if so when, an employee has flex rights.
  4. Review an Employee’s Schedule Details

    Review an employee’s schedule details for a particular date on the E panel.

    Schedule details are listed at the top of the E panel. You can review the following:

    • The valid work time definition and the work hour group for which the work time definition belongs. Work hour definitions are used to compose an employee’s schedules and calendars and determine when attendance, etc. can be calculated for the employee. For more information, see Define Work Hours for Time and Attendance and Manufacturing Order Processing.
    • The number of work hours for the current day.
    • The employee’s work hour period; that is, between which times he/she normally starts and finishes work.
    • The employee’s period of validity, that is, between which times that times belonging to the current work hour definition can be calculated for an employee.

  5. Review Overtime and Miscellaneous Time Details

    Review on the E panel whether, and if so, when overtime, miscellaneous time shorter work hour can be calculated for an employee on the current schedule date.

    All overtime and miscellaneous times are calculated according to particular time definitions. For more information, see Create Time Definition for Overtime, Miscellaneous Time and Shorter Work Hour in Time and Attendance.

    If a valid time definition exists for an employee and the current schedule date, information on the time definition is displayed directly under the ‘Time type’ field. For each time definition, you can review:

    • Between which times overtime, miscellaneous time and shorter work hour can be calculated according to the current time definition.
    • The minimum and maximum number of hours, if any, received by the times that are calculated according to the current time definition.
    • The time type that times receive that are calculated according to the current time definition.
    • The priority of the time definition.

  6. Review Flex Details

    Review on the E panel whether, and if so when, an employee has flex rights on the current schedule date.

    If the employee has flex rights, some flex information is displayed at the bottom of the panel under the ‘Schedule’ field. You can review the following:

    • The valid flex schedule.
    • Between which times morning flex, lunch flex and evening flex are permitted.
    • The least number of minutes the employee must take a lunch break. If the employee takes a shorter lunch break than the number of minutes specified here, the minimum number of minutes will nonetheless be drawn as lunch.

  7. Select Action after Review

    Select one of the following options on the E panel:

    • If you are satisfied with the review, press F3 to exit the program.
    • To continue reviewing other details for the same employee and schedule date, go to Select What You Want to Review .
    • To review another employee and/or schedule date, enter the new employee number and/or schedule date and press Enter. See Review an Employee’s Schedule Details.
