Lab Order Request

This document explains the purpose of the Lab Order Request. It is used exclusively in the Quality Management System (QMS).

Outcome

As part of the quality control process, there are certain reports, such as test results, labels, and the Certificate of Analysis, that are required to ensure a product is meeting its quality standards and safety requirements.

The Lab Order Request is used primarily for the purpose of sending the required testing details to an external laboratory where the testing will be conducted by a third party. It includes the details of the required quality tests and also displays test results if they exist.

The Lab Order Request report is printed from 'Lab Order Request. Print' (QMS620). This program may be accessed from the menu of Quality Management System programs.

You also have the option of printing a Lab Order Request from the B1 panel of 'QI Request. Open' (QMS300) by highlighting a record and selecting the Related option, 'Lab Order Request. Print' (or click CTRL+18). The system will execute the print function without opening 'Lab Order Request. Print' (QMS620).

There are two main parts in a Lab Order Request Printout (QMS621PF):

  • The cover page includes the input data such as:
    • Company
    • Division
    • Facility
    • Warehouse
    • Address/City/State/Postal code
    • Country
    • Required date range
    • Laboratory range
    • Item number range
    • Lot number range
    • Request ID range
    • Specification range
    • Test range
  • There is a details section for each order/order line presented as a header, as well as the corresponding test details page that shows the associated quality test(s).

    The header information includes:

    • Company
    • Laboratory
    • Supplier Name
    • QI request
    • Required date
    • Responsible (i.e. the contact person at the laboratory)
    • Telephone number/Facsimile number
    • Email address
    • QI req managed by
    • Item number
    • Lot number
    • Item name and Description
    • Report text

    The testing details page shows the quality test information such as:

    • Test ID
    • Test type
    • Specification and Description
    • Test order
    • Test unit of measure (U/M)
    • Number of decimal places
    • Expected test results
    • Sequence number of the specification
    • Actual test values (if they exist). Blank line will appear for each sequence if no test results exist.
    • Tested Date and Time (if applicable). Otherwise, a blank line will display.

If the Laboratory is different for any of the selected tests/specifications, a new Lab Order Request printout is generated by the system.

Before you start

The setup conditions outlined in Managing Quality Control must be met.

Follow these steps

Print a Lab Order Request

  1. Start 'Lab Order Request. Print' (QMS620) and go to the E panel.

  2. Enter a Facility.

  3. Enter a Warehouse.

  4. Enter a Required date (or range) or select dates from the Calendar tool to populate the corresponding From/To fields.

    Note: To reprint the test for the Lab Order Request for a required date, the Copy check box must be selected.

    OR

  5. Enter a Laboratory (or range) in the appropriate fields.

    Note: To reprint the test for the Lab Order Request for a laboratory, the Copy check box must be selected.
  6. Enter an existing QI request number (or range) in the corresponding From/To fields.

    Note: To reprint the test for the Lab Order Request for a QI request number, the Copy check box must be selected.
  7. Select either an Item or Item-Lot as a more specific filter (optional).

  8. Enter a Specification (or range) in the appropriate From/To fields.

  9. Enter information in the Report text field (optional).

  10. Click Next.

  11. If the QI Request Status (QSTA) field in the QI Request Header (QMSRQH) table is not set to '1 - Released' or '2 - In Process', the Lab Order Request details will not be printed.

  12. If the Confirm Output field is set to '1' in 'Output Service Selection. Open' (MNS204) , the 'Output. Select Media' (MNS212/B1) is displayed on the O panel:

    After you select the Confirm output button, the print job is submitted.

  13. If the Confirm Output field is set to '0' in 'Output Service Selection. Open' (MNS204), the print job is submitted.
