Define User and User Authorization in Time and Attendance and Manufacturing Order Processing
This document explains how you define users and authorization in Time and Attendance and Manufacturing Order Processing.
This document also explains how authorization areas are defined for each user.
Outcome
You have defined a user, that is, given an employee authorization to start programs other than (TMS001) in Time and Attendance.
You have also defined authorization areas for users. You may have chosen and combined the following user authorization areas:
- authorization to start programs other than (TMS001).
- authorization to approve calculated employee times.
- authorization to make changes, such as change calculated times, time types and time definitions in Time and Attendance.
- authorization to register transactions in Manufacturing Order Processing.
- authorization to change and approve transactions in Manufacturing Order Processing.
If a user has been given the authorization to change and/or approve times, you may have specified for which employees the user has this authorization.
In order for Time and Attendance to function, individuals that are authorized to start and work in programs other than (TMS001) must exist.
In order for transactions to be registered in Manufacturing Order Processing there must be persons who have authorization to register, change and approve the transactions.
Users and user authorities are stored in the CSESEC file.
Before you start
- The starting conditions listed in Configuring Time and Attendance and Manufacturing Order Processing are met.
- If a facility is specified for the employee, it must exist in 'Facility. Open' (CRS008).
- If a department is specified for the employee, it must exist in 'Department. Open' (CRS080). Refer to the document Create Department.
- If a planning area is specified for the employee, it must exist in 'Planning Area. Open' (CRS085).
Follow these steps

To create authorization for a user, start 'User. Connect Authority' (CRS545).

Enter the user for which you wish to create authorization on the B panel.

Enter, if necessary, the facility, department and planning area for which the user is to have authorization. Select the Create option.
If you leave these fields blank, the user will have authorization to the entire company.
If you enter a department, you must also enter a facility.
If you enter a planning area, you must also enter a facility and department.

To enter a user's authorization area, go to the E panel.

Enter the name and a description of the user.

Enter whether the user is authorized to approve calculated times in the 'Authorized to approve' field.

Enter whether the employee is authorized to make data changes in Time and Attendance/Manufacturing Order Processing programs in the 'Change permitted' field.

Enter whether the user has authorization to start Time and Attendance programs other than (TMS001) in the 'Used in Time and Attendance' field. Press Enter.

Enter whether the user has authorization to register transactions in Manufacturing Order Processing in the field 'Used in MOP'. Press Enter.

The user ELDIN has authorization to see the times that are calculated for all employees in the Electronics facility. Note If a user has authorization to more than one facility, the authorities must be created individually. |

… the department to which the current employee has authorization. Companies are divided into several levels. Departments lie between facilities and planning areas in Time and Attendance. This means that a company is divided into several facilities that can consist of many departments. Departments can also be divided into smaller units. Example 1. The 'User', 'Facility' and 'Department' fields contain the values 'ELDIN', 'Electronics' and 'Radio' respectively. 2. The user ELDIN is authorized to see times created by employees in the Radio department under the Electronics facility. Conditions This field can only be used if a value is entered in the 'Facility' field on the same panel. |

… the planning area to which the current employee has authorization. Companies are divided into several levels. Planning areas represent the lowest level in Time and Attendance. This means that departments can also be divided into various planning areas. Example 1. The 'User' is ELDIN. 2. The 'Facility', 'Department' and 'Planning area' fields contain the values 'Electronics', 'Radio' and 'Car radio' respectively. 3. The user ELDIN is authorized to see times created by employees in the Car radio planning area in the Radio department under the Electronics facility. Conditions This field can only be used if values are entered in the 'Facility' and 'Department' fields on the same panel. |

… whether the current user is authorized to approve calculated times. The valid alternatives are 0 = No 1 = Yes. Times must be authorized to be transferred to the transaction history or a payroll system. Times are approved in 'Calculated Time. Update' (TMS220) or 'Calculated Time. Approve On-screen' (TMS230). Times for performed operations in Manufacturing Order Processing must be approved in order for the transactions to be registered and 'Work Center Schedule. Open' (PMS230) to be updated. Example In order for a person to be authorized to approve transactions in Manufacturing Order Processing the fields 'Authorized to approve' and 'Used in MOP' must be selected. |

… whether the current user is authorized to start other programs than (TMS001) in Time and Attendance. The valid alternatives are If value 0 is entered in this field, the user cannot start any program other than (TMS001) in Time and Attendance. This means that he/she is not authorized to approve or change times even if authorization is specified in the 'Authorized to approve' and 'Change permitted' fields on the same panel. If value 1 is entered in this field and value 0 has been entered in the 'Authorized to approve' and 'Change permitted' fields, the user can start other programs than (TMS001) but cannot approve or change times. This value combination can be useful if you for example want the user to be able to clock times in not only (TMS001) but also the following programs: 'Time Activity. Clock In' (TMS002). (used to clock in a time activity), 'Time Activity. Clock Out' (TMS003) (used to clock out a time activity) and 'Absence. Enter Running' (TMS004) (used to enter running absence). |

The valid alternatives are If you specify value 1 in the field 'Authorized to approve' and 'Used in MOP', the current user gets the authorization to approve and register transactions in MOP. If you specify value 1 in 'Authorized to approve', 'Change permitted' and 'Used in MOP', the current user gets the authorization to register, approve and change transactions in MOP. If you specify value 1 in the field 'Change permitted and 'Used in MOP' the user gets authorization to register and change transactions in MOP. If you specify value 1 in the field 'Used in MOP' the user only gets authorization to register transactions in MOP. |
