Adjust Employee Calendars in Time and Attendance

This document explains how you make both minor and more significant adjustments to individual employee calendars. These changes can, for example, range from changing one day's work hours to changing all work hours for all calendar days for a period of time.

Outcome

You have changed an employee's calendar in either 'Employee. Connect Calendar' (CRS510) or 'Employee. Change Calendar' (CRS526) depending on the size of the change.

Correct employee schedules are essential for the correct calculation of an employee's times. Times are calculated in 'Calculated Time. Generate' (TMS400), and 'Calculated Time. Approve On-screen' (TMS230).

The file containing information about employee calendars (PEECAL) is updated.

Before you start

  • The starting conditions listed in Defining Employees and First-time Calendars in Time and Attendance must be met.
  • An employee calendar must have been created by defining a work schedule for the employee in 'Person. Open' (CRS530).
  • Work hour definitions must have been defined in 'Work Hour Definition. Open' (CRS505).
  • Work schedules must have been defined in 'Work Schedule. Open' (CRS515).

Follow these steps

Select one of the following alternatives:

  • To make minor adjustments (for example, to add a holiday specific to the current employee), start at step 1.
  • To make considerable adjustments (for example, to change all work hour definitions for a particular period of time or change to another schedule for a period of time) go to step 5.
  1. Start 'Employee. Connect Calendar' (CRS510).

  2. On the B panel, open the employee whose schedule you want to change.

  3. On the E panel select the month in which you want to make an adjustment by entering the month number in the 'Month' field and pressing Enter.

  4. On the same panel, change the work hour definition and number of work hours per day for the day in need of adjustment.

    The change is immediate.

  5. For more considerable adjustments, start 'Employee. Change Calendar' (CRS526).

  6. On the E panel, enter the number of the employee for which you wish to make changes.

  7. Enter the dates from and to which the change is to apply (these fields are required).

  8. Select one of the following alternatives:

    • To change all work hour definitions and their hours, go to Make Minor Adjustments .
    • To switch over from the current schedule to another schedule, continue with the following steps.
  9. Enter the work hour definition and hours with which you want to replace the current definitions for the specified period of time. Press Enter. ,

    The employee's calendar is changed and can be reviewed in 'Employee. Connect Calendar' (CRS510).

  10. Enter the work schedule with which you want to replace the current schedule.

  11. Enter a start week (if applicable). Press Enter.

… the work hour definition that will replace all definitions for the specified period of time.

Note that all days of the specified period will receive the new work hours (including Saturdays and Sundays.) If certain days are to have other definitions than the replacement definition, (Saturday and Sunday, for example), you must define these manually in 'Employee. Connect Calendar' (CRS510) after you have run 'Employee. Change Calendar' (CRS526).
