Define Flex Schedule for Time and Attendance

This document explains how you create a flex schedule, which specifies between which times flex is possible.

Outcome

A flex schedule containing information on morning, lunch and evening flex is created and can be reviewed in 'Flex Schedule. Open' (CRS525). Note that flextime will only be generated for the specified time ranges.

The file containing information about flex schedules (CFLFLX) is updated.

A flex schedule can be connected to an individual employee's calendar by attributing a work schedule that contains a flex schedule to the employee in 'Person. Open' (CRS530). (Whether or not the employee is permitted to use flextime is also defined here.)

Before you start

The starting conditions listed in Defining Schedules for Time and Attendance must be met.

Follow These Steps

  1. Start 'Flex Schedule. Open' (CRS525).

  2. On the B panel, enter a flex schedule number. Press New.

    This ID can consist of up to three numerical characters.

  3. On the E panel, enter a name (required) and description.

  4. Enter the times from and to which morning/lunch/evening flex is allowed.

  5. Enter the minimum number of minutes that the employee must take lunch. Press Enter.

Parameters to Set

… the times from and to which morning flex is allowed.

These times are defined in connection with the work hour start. For example, if your normal work day starts at 8 a.m., you could define your morning flex as possible between 7 and 9 a.m.

(CRS525/E) Lunch flex start/end

… the times from and to which lunch flex is allowed.

These times are defined in connection with the lunch break. For example, if your normal lunch starts at 12 p.m. and ends at 1 p.m., you could define your lunch flex as possible between 11 a.m. and 2 p.m.

(CRS525/E) Evening flex start/end

… the times from and to which evening flex is allowed.

These times are defined in connection with the work hour end. For example, if your normal workday ends at 5 p.m., you could define your evening flex as possible between 4 p.m. and 6 p.m.

(CRS525/E) Lunch flex minimum

… the minimum number of minutes that the employee must take lunch.

When lunch flex is calculated, the time that the employee actually takes for lunch is compared to the number of minutes entered here. If the calculated lunchtime is less than the minimum lunch flex, the lunchtime is automatically adjusted to the minimum number of minutes.
