Define Work Hours for Time and Attendance and Manufacturing Order Processing

This document explains how you create work hour definitions. These definitions describe all of the times for a schedule day such as when work time starts and ends, break times, the times between which flex can be used, etc.

These are used to create the schedules that are the basis for employee calendars.

Outcome

One or more work hour definitions are created and can be reviewed in 'Work Hour Definition. Open' (CRS505).

The file containing information about work hour definitions (PAJWCD) is updated.

Use work hour definitions as building blocks when creating schedules. Schedules are the foundation for building up individual employee calendars. Calendars are used within Time and Attendance to control what times should be created from the employees clocked transactions. Within Manufacturing Order Processing calendars are used to estimate the time for production.

Before you start

  • The starting conditions listed in Defining Schedules for Time and Attendance must be met.
  • Breaks must have been defined in 'Break. Open Details' (CRS506) and 'Break. Open' (CRS507) respectively.
  • Work hour groups must have been defined in 'Work Hour Group. Open' (TMS125).
  • Flex schedules must have been defined in 'Flex Schedule. Open' (CRS525).

Follow These Steps

  1. Start 'Work Hour Definition. Open' (CRS505).

  2. On the B panel, enter a code for the work hour definition.

    This code can contain up to three alphanumeric characters.

  3. Enter the number of hours per day that the work hour definition contains. Press New.

  4. On the E panel, enter the name of the definition (required) and a description.

  5. Enter the time the normal workday begins and ends (required) in the 'Work hours from and to' fields respectively.

  6. Enter the times from and to which the work hour definition is valid (required).

  7. Enter the type of break that is valid for this work hour definition.

  8. For nightshifts, enter a value in the 'Day connection field'.

  9. Enter a flex schedule, if applicable.

  10. Enter the work hour group to which this work hour definition belongs. Press Enter.

Parameters to Set

Program ID/Panel Field The field indicates …
(CRS505/B) Work hours per day

… the number of hours per day that the work hour definition contains.

* The hours are written in decimal form. For example, if the work hour definition refers to a workday consisting of 7 hours and 15 minutes, you specify the following: 7.25.

(CRS505/E) Work hours from and to

… the time the normal workday begins and ends.

* These times are entered in the 24-hour format without spaces. The first two positions represent the hour and the last two the minutes. For example, 8 p.m. is written 2000.

(CRS505/E) Valid from and until

… the times from and to which the work hour definition is valid.

* These fields determine whether a time that is clocked in or out belongs to this work hour definition. For example, if the valid interval is 3 a.m. to 2:59 a.m. the next day, only times clocked in or out between these times are valid.

* If you leave the 'Valid from' field blank, the work hour definition will be considered valid from 12 a.m.

(CRS505/E) Break

… the type of break that is valid for this work hour definition.

A check is performed to see that workday's from and to times minus the break time(s) is equal to the work hours specified per day.

(CRS505/E) Day connection

… whether the shift belongs to the date on which the shift began or the date on which it ended.

This field is used for shifts that stretch over midnight and thereby two dates.

The valid alternatives are

0=belongs to the date it began

1=belongs to the date it ended.

(CRS505/E) Flex schedule

… the flex schedule to be applied for this work hour definition.

Note: You can define for each individual employee whether he/she has the right to utilize flextime in 'Person. Open' (CRS530). The individually defined flextime rights and schedules attached to the employee's work hour definitions will override the flex schedule specified here.
(CRS505/E) Work hour group … the work hour group to which this work hour definition belongs.
