Create Maintenance Agreement Quote

This document explains how to create quotations for maintenance agreements based on a predefined maintenance plan and an estimated usage of the equipment included in the agreement.

Use this process when a customer requires a quote including the cost for all preventive services that should be performed for one or multiple equipment within a specific period based on the estimated usage of the equipment for this period. The basis for the included service can either be a maintenance program, scheduled services defined on the agreement lines, or existing work requests.

Outcome

An MCO quotation with quotation number '0' is created based on the details specified in a maintenance agreement with one of these alternatives:

  • For agreement objects based on a maintenance program selected on the maintenance agreement.
  • For agreement objects based on agreement lines defined on the maintenance agreement.
  • Based on existing work requests for the agreement object.

If the quote is based on maintenance program or agreement lines, simulated work requests are created for the quotation date interval. The simulated work requests are created for as long as the planning horizon is set, but MCO lines for the quote is based on the maintenance program on the equipment (if left blank on the agreement), the maintenance program on the agreement, or the MCO agreement lines. The quote information includes expected revenue and cost based on the material and operations of the service definitions. One MCO line is created for each work request with cost and price details for each line in the invoice specification. Totals can be reviewed in the MCO totals in 'Maint CO. Display Totals' (COS110). Start and finish dates for the scheduled services are available on the MCO order lines and are displayed on 'Maintenance Customer Orders. Open Line' (COS101/F).

If the quote is based on existing work requests for an equipment, MCO lines are created for each work request and the work requests cost and pricing information is available in 'Maint CO. Check Preliminary Invoice Spec' (COS170) and (COS110).

The agreement quote can be limited by meter limits defined in 'Main Agrmnt. Connect Objects' (COS412) and 'Maint Agrmnt. Connect Model Individual' (COS413). If an equipment is only included in the agreement until a certain meter reading is reached, MCO quote lines are not created if the work request is due at a meter reading that is higher than the limit for the agreement.

Limitations

  • If 'Scheduled serv' is set to 2-'Yes, dsp first' on 'Service. Open' (MOS300/E), only the first service is included in the MCO quotation.
  • You cannot create an MCO quote after the end date of the agreement has passed.
  • An agreement quote cannot be created for a date later than the planning horizon defined for service in (MOS300) or for equipment in 'Equipment/Serialized Item. Open' (MMS240).

Prerequisites

  • An MCO order type must exist in 'Maint CO Type. Open' (COS010).
    • The parameter 'Next manual function' must be set to '0'.
    • 'Order type category' equals 10-'Quotation'.
    • If a quote is used to update the project in 'Project. Open' (POS100) or finance budget in 'Budget. Open' (BUS100), the check box 'Budget Integration' must be selected.
  • An active MCO agreement must exist in 'Maint Agrmnt. Open' (COS410).
  • An operation plan version must exist in 'Operation Plan Version. Open' (MOS385) for the simulated operation plan.
  • An operation plan must exist in 'Operation Plan. Open' (MOS380) for the operation plan version.
  • A scheduled service must exist in (MOS300) with defined operations and material.
  • A work order type with category 01-'Simulation' must exist in 'Work Order Type. Open' (MOS120).
  • If the quote should be based on a maintenance program, a maintenance program must be defined in 'Maintenance Program. Connect Services' (MOS323) with connected scheduled services with repeat intervals.
  • Maintenance limits should be defined in 'Service. Connect Maintenance Limits' (MOS311).

If the maintenance agreement quote is used for updating a project budget, you can configure auto-creation of the project at maintenance agreement quote creation. These prerequisites must be fulfilled:

  • In (COS010), a project order type must be defined on the MCO type that is used on the maintenance agreement quote.
  • In (MOS300), a (POS100) project template must be defined on the scheduled services that will be included in the quote.
  • The template project should have a 'Project Budget Template. Open' (POS030) budget template defined on the project element to which the maintenance agreement quote cost/prices should be transferred. The budget template should have budget items in (POS031) for the transactions that should be transferred from the maintenance agreement quote.
    • Budget items can also be added manually to the project element in (POS111) after the project has been created.

Follow these steps

  1. Create or define an MCO agreement.

    Either create a new MCO agreement or use an existing template agreement for quoting.

    • Select or create an MCO agreement in (COS410).
    • The individual equipment that should be quoted in the agreement must be defined in (COS412) or (COS413) accessed using related option 12='Objects per Agreement' or 13='Model Individual per Agreement' from (COS410). If the connected objects or model individuals should be limited by a meter reading, it is defined here. If a model individual should be limited by more than one meter, several records in (COS413) are required. In (COS412) several meter limits can be defined on one record.
    • Pricing for material, time, subcontracting, and miscellaneous expenses is retrieved from the MCO agreement. This is no different to how pricing is defined on standard maintenance agreements.
    • The scheduled services that should be included in the quote can be based on maintenance program, agreement lines, or existing work requests (non-simulation).
      • Maintenance program

        Specify a maintenance program on (COS410/F) if the quote should be based on scheduled services included in the selected maintenance program. The content of the included scheduled services, maintenance limits of the scheduled services, and the operation plan (operation plan version) of the individual equipment will be the basis for creating the quotation.

        Note:  The maintenance program and connected maintenance limits specified on the individual item on (MMS240/G) are used to create simulated work requests in 'Work Request. Open' (MOS170). The maintenance program specified on (COS410/F) is used to select which of the simulated work requests to include in the maintenance agreement quote.
      • Agreement lines

        Specify all included scheduled services on the agreement lines in (COS411). The content used as basis for the quotation is the scheduled services, the maintenance limits of the scheduled services, and the operation plan of the individual equipment. The prices are based on the pricing defined on the maintenance agreement.

        Note:  The maintenance program and connected maintenance limits specified on the individual item on (MMS240/G) are used to create simulated work requests in (MOS170). The scheduled services defined in (COS411) are used to select which of the simulated work requests to include in the maintenance agreement quote.
      • Existing work requests (non-simulation)

        If 'Quote simulation' is not selected on 'Quote Version. Create' (COS630/E), the quote will only be based on already existing work requests generated based on the maintenance program defined on the serialized item in (MMS240). The agreement lines in (COS411) can still be used for selecting which work requests should be included in the maintenance agreement quote.

  2. Create the quote.

    On (COS410/B), select related option 48='Crt Agr Quotation' to start the selection program 'Quote Version. Create' (COS630/E). Specify the information needed on the E panel and press Enter to create a quote. This table describes the information on the E panel:

    Field Description
    Start date/To date Specify the from and to date for the quote period. The from and to date is by default set to the start and end date from the agreement.
    Op plan vsn

    Different operation plans can exist for the same equipment and period, for example, one for scheduled usage and one for simulation.

    • To create an MCO quote for active equipment based on existing work requests, leave the field blank. This means that the current (active) operation plan will be used.
    • To create a simulated service plan, select the operation plan version defined for a simulation. Such operation plan is usually defined with estimated running hours/miles for the equipment in (MOS380). The selected operation plan version will be used for generating the simulated work requests that will be the basis for the MCO quote.
    Order type Select the MCO order type (COS010) that should be set as default on the MCO lines that will be the basis for the quote. We recommend creating a specific order type for the quotation.
    WO Type Select the work order type that should be used on the work requests generated in the simulated service plan. If a work order type is not selected, the order type is retrieved from the MCO order type. If no work order type is specified on the MCO order type, the work order type defined in 'Settings - Maintenance 1' (CRS788) for parameter 42-'Default order type - simulation' is used. The work order type stated in (COS630) overrides the normal work order type defined on the Service ((MOS300) and Service. Connect to Facility (MOS301)).
    Cstng type Select a costing type. If left blank, the normal costing type for the service work is used.
    Quot simulation

    The check box determines if the quote is based on simulated work requests or on existing work requests for an equipment.

    • Select 'Quot simulation' to create an MCO quote based on simulated work requests for the individual item. Existing (active) work request will not be included in the quote. An operation plan version must be selected if 'Quot simulation' is checked.
    • Deselect 'Quot simulation' to create an MCO quote based on existing work request for the individual item. No simulated work requests are created. If 'Quot simulation' is deselected, 'Operation plan version' must be blank.

    If 'Quot simulation' is selected when starting the quote version run, simulated work requests are created in (MOS170) based on the details of the MCO agreement (maintenance program or agreement lines) and the selections made on (COS630/E). The work requests are created based on the repeat interval of the services.

    One MCO and MCO lines for each simulated work request are created. When all MCO lines have been created, the simulated work requests are automatically deleted from (MOS170).

  3. Review the MCO quote.

    Use option 49-'Agr Quotation' from (COS410/B) to view the quote version on (COS630/B). One quote version will be created each time (COS630/E) is submitted. The quote version has a reference to today’s date (yyyymmdd) and end with a sequence number.

    The status of the quote version is '20' when the quote run has completed. When the status is '20' several related options can be used from (COS630/B) to display the MCO header and lines that hold the quote information.

    MCO lines have been created in (COS101) for each scheduled service (work request or simulated work request) within the quote from and end date. The maximum is up until the end of the service or equipment planning horizon. If meter limitations are used in (COS412)/(COS413), an MCO line is created for work requests with next due meter readings inside the limits. The MCO lines have a planned start and end date reflecting when the scheduled service should have been performed based on the repeat interval of the service and the simulated operation plan.

    The invoice specification (COS170) is populated for each MCO line with transactions for expected labor, material, subcontracting, and miscellaneous. The details can be viewed by selecting the quotation number 1 on (COS170/B). The cost for the transactions is based on expected cost per MCO agreement and cost price for material. The revenue or sales price is calculated based on the settings on the MCO agreement in the same way as a normal MCO quote is managed.

    In (COS110), the totals can be summarized for all MCO lines using view 2. The simulated work requests cannot be reviewed in (MOS170) as they will be automatically deleted when the MCO lines are created.
