Create Technical Datasheet

This procedure should be used when creating technical datasheet (TDS) fields, TDS templates or linking TDS templates to equipment and positions. Technical datasheets and their associated fields are also called custom fields in M3.

Before you start

Before the procedure can begin, the following prerequisites must be met:

  • The equipment must be defined in 'Equipment/Serialized Item. Open' (MMS240).
  • The position must be defined in 'Model/Site. Connect Position' (MOS440).
  • Units of measure must be defined in 'Unit of Measure. Open' (CRS050).

Follow these steps

Set up technical datasheets

  1. Create the fields that will be used in the technical datasheets (these may include speed, power, rating etc.). These are defined in 'Custom Field. Open' (CMS470).

  2. Create TDS group headers (Motor, Gearbox etc.). These are defined in 'Custom Field Group. Open' (CMS471).

  3. Link TDS fields to TDS headers. This involves linking, for example, the speed and power fields to motor header to form a template that can be used for all motors. These are defined in 'Custom Field Group. Connect Custom Field' (CMS472).

  4. The TDS templates are linked to the equipment or position. The link is made via a code, not directly to the equipment or position. The code is then entered into the equipment and position records. For positions, the position category code is used. For equipment the item/equipment group field is used. The linking process is identical in both cases. Therefore, only one link is demonstrated here.

  5. Enter the appropriate data to link the completed templates to equipment and position records. These are entered in 'Equipment/Serialized Item. Open' (MMS240) and 'Model/Site. Connect Position' (MOS440). Linking to equipment and positions is a similar process. Therefore, only one link is demonstrated in this document.

From 'Custom Field. Open' (CMS470):

  1. Select panel E and enter the name of the field (Speed, Power and so on).

  2. Select New to display (CMS470/E).

  3. The description of the TDS field must be entered.

  4. The name will automatically be defaulted from the description (and truncated if necessary). Note, rather than the user entering data manually the system can display data based on an existing M3 field. In this case enter the field name with a forward slash followed by the file name. For example, LISERN/MILOIN00 will display the details in the serial number field of the record in question, this field is stored in the table MILOIN00 (00 must always be at the end of the file name)

  5. The heading will automatically be defaulted from the description. Dot leaders will be automatically inserted at the end of the heading if space permits. The heading is used in many panels as the field title.

  6. The Field Type must be selected. The valid options are A (alphanumeric), N (Numeric) and D (Date).

  7. Enter the Field Length. This is not required for date fields. The maximum length for an alphanumeric field is 40 and 15 for numeric.

  8. The No. Decimal Places field should be filled in only for numeric fields. The default value is 0, and the maximum value is 6.

  9. Enter the meter. This is the unit that the field is being measured in (if required). Meters are defined in MMS051. Press Enter to save.

From 'Custom Field Group. Open' (CMS471):

  1. Select panel E and enter the name of the TDS Header (Motor, Gearbox, and so on).

  2. Select New. The E screen will be displayed.

  3. The description of the TDS header must be entered.

  4. The name will automatically be defaulted from the description (and truncated if necessary). Press Enter to save.

From 'Custom Field Group. Connect Custom Field' (CMS472):

  1. Select panel E and enter the TDS Header code (Motor, Gearbox, and so on).

  2. The sequence number must be entered. This would normally be 1…2, or something similar, although spaces can be left.

  3. A valid TDS Field must be entered.

  4. Press New and then Enter to confirm the save.

Linking Technical Datasheet templates to Position Category. Open (MOS496 – for positions) and Item/Equipment Group. Open (CRS025 – for equipment) Codes:

  1. Configuration category or equipment group codes must exist. Select the code and choose option 11.

  2. Enter the sequence number. This would normally be 1… 2, or something similar, although spaces can be left.

  3. Enter the TDS Header code. Press Enter to save.

Entering data for positions (MOS440) and equipment (MMS240):

  1. Link the position category to the position or the item/equipment group to the equipment in (MOS440) or (MMS240) respectively.

  2. Select panel Q and the option to edit the equipment or position.

    Note: This feature is also available by highlighting the position or equipment, then selecting the TDS option from the pull-down menu.
  3. Enter the technical data for the equipment or position. Press Enter to validate the information.
