Run Selection Query and Approve or Reject Work Requests

This document explains how you run a predefined selection query to display the matching work requests. The document also explains how suggested work is either approved or rejected in two different ways. These ways are:

  • Approve with a designated work request approver
  • Approve using the regular resources.

Use this instruction when you want to display work requests that affect you. This might be the case when you want to do the following:

  • Approve suggested work before the planner can start estimating and planning it
  • Review all work requests that can be carried out within a given time frame, for example a planned or unplanned production stop with a known duration. (This is done by using a query including the field 'Estimated downtime'.)

Outcome

Only the work requests that match the search criteria are displayed in 'Work Request. Open' (MOS170).

The approved work requests appear with status 20, which indicates that the maintenance planner can start working with the request.

In this process, the selection is intended to single out work requests that need approval. These work requests may be approved. It is however possible to use queries for other purposes depending on the company's processes and needs.

Approved requests may be estimated, planned and released.

Before you start

  • The starting conditions listed in Selecting and Approving Work Requests must be met.
  • Work requests must exist in 'Work Request. Open' (MOS170).
  • A query must be defined in 'Selection. Open' (CRS991).
  • If the work requests should be approved by a designated approver, this person should have the request status set to 20 and 'Allow release' cleared in 'Work Order Authorization. Open' (MOS175). Also, parameter 230 in 'Work Order Type. Open' (MOS120) must not be 0.

Follow These Steps

Run Selection Query

  1. Start 'Work Request. Open' (MOS170).

  2. Press F17=Selection to display 'Selection. Open' (CRS991).

  3. Make sure that the B panel is displayed. Use F13=Parameters to change the panel sequence if it is not displayed.

  4. Select the appropriate query and select option Run to display the E panel.

  5. Click Exit to run the query and return to 'Work Request. Open' (MOS170).

Approve Suggested Work Using Designated Approver

  1. In 'Work Request. Open' (MOS170/B), select sorting order 13.

    Sorting order 12 pre-filters the work requests according to maintenance object. This is done even before the selection query is run. Sorting order 13 displays all requests without any filters.

  2. Highlight the work request to approve and select option 'Release work request'.

    The work request status will be raised to 20.

Approve Suggested Work Using Regular Resources

  1. In 'Work Request. Open' (MOS170/B), select sorting order 13.

    Sorting order 12 pre-filters the work requests according to maintenance object. This is done even before the selection query is run. Sorting order 13 displays all requests without any filters.

  2. Select the work request that should be approved or rejected and open it to display the E panel.

  3. Set the request status to 20. Press Enter to finish.

Reject Suggested Work

  1. In 'Work Request. Open' (MOS170/B), select sorting order 13.

  2. Select the work request to reject and use option 4=Delete to display the D panel.

    Deleted work requests can be treated in one of the two following ways: If the deletion type in 'Work Request. Open' (MOS170/P) is set to 0, the work request is deleted and removed from the system. If the deletion type is set to 1, the work request's status is set to 90, but the work request remains in 'Work Request. Open' (MOS170) until the start date. It is then moved to 'Serialized Item. Open Service History' (MOS180).

  3. Enter a transaction reason, if applicable. Press Enter to finish.
