Create Rental Agreement
This document explains how you create a rental agreement. This process starts by using the Rental Planning Board (STS495) to search for and manually allocate the equipment needed for the agreement. You then create the agreement and add the rental terms in the agreement lines.
Maintenance Agreements are handled by the program 'Maint Agrmnt. Open' (COS410). In this program it is possible to define general agreements to be used as templates.
The field 'MAI Agreement' in (STS201/I) is used to connect the rental agreement line to a template maintenance agreement. A new maintenance agreement based on the template is then created during dispatch of the equipment. The maintenance agreement number will be the same number as the rental agreement number.
It is also possible to set up a template maintenance agreement on the rental agreement order type in 'Rental Agreement Order Type. Open' (STS020). The template maintenance agreement is then used as a default in the rental agreement line (STS201/I). It will be possible to overrule the default value in STS201.
The new maintenance agreement will be open during the rental period and handled via COS410.
Outcome
A rental agreement is created, consisting of:
- An agreement with general information about the customer and agreement terms and conditions
- One or more agreement lines with rental equipment
- Links to the maintenance agreement and work order for inspection at check in
The following M3 tables are affected:
- STRDRY (by program STS495)
- STAGLI (by program STS201)
- ACUAGH (by program COS410)
The rental equipment is delivered to the customer and the agreement goes into effect.
Before you start
- An order type configured for rental agreements must exist in 'Rental Agreement Order Type. Open' (STS020).
- Various rental parameters must exist in 'Settings – Rental Agreements' (STS699).
Follow These Steps

Create rental agreement
Enter customer information and general agreement details in Rental Agreement. Open' (STS100). Select Action F18= Rental Planning Board.

Search for equipment and allocate
Search for equipment in 'Rental Planning Board. Display' (STS495). You can use the GANTT chart to easily view available equipment. Select Related Option=Create Agreement Lines.

Enter rental agreement lines
In Rental Agreement. Open Line' (STS201), you:
- Specify the warehouse where the equipment is located. This is the warehouse where the equipment will be checked out and checked in. This is automatically done when the equipment is selected from the GANTT chart.
- Enter the line type for the agreement. The line types 5, 7 or 8 are valid.A line type of '5-Hire' signifies that the equipment is being rented.
- Enter the equipment item and serial numbers. This is automatically done when the equipment is selected from the GANTT chart.
- Connect the rental agreement to a work order to perform an inspection when the equipment is checked in.
- Connect the rental agreement to the maintenance agreement that has been created in 'Maint Agrmnt. Open' (COS410). Use the Action=Change and go to Panel I in order to change Agreement MAI.
- Enter rental and sale pricing information.
