MCO Agreement Monitoring List

You can use the monitoring list for maintenance agreements in 'Maintenance Agreement. Monitor' (COS432) to follow up on maintenance agreement activities. For example, you can use it as a reminder to monitor and follow up on these activities:

  • Agreement validity dates
  • Agreement general terms and conditions
  • Agreement profitability
  • Agreement index updates.

You can add the monitoring list activities manually directly in (COS432) or automatically when you create a new agreement, copy an existing agreement, or click F15='Generate agreement monitoring list' in (COS432). To add the monitoring list activities automatically, the new or copied agreement must be connected to an agreement type in 'Maintenance Agreement type. Open' (COS405), which is also connected to a monitoring list header with lines in 'Monit Lst Header for Maint Agr. Open' (COS040) and 'Monit Lst Lines for Maint Agr. Open' (COS041).

This document describes how to configure the monitoring list header (COS040), the related monitoring list lines (COS041), and how to add monitoring list activities (COS432) manually or automatically.

Before you start

Transaction reasons must exist in 'Transaction Reason. Open' (CRS103) to be able to add an activity to a monitoring list header in (COS041) or directly to an agreement in (COS432).

Follow these steps

Follow these steps to create a monitoring list header (COS040) with lines (COS041):
  1. Start (COS040).
  2. Add a unique ID and click 'New'.
  3. Specify a 'Description' (TX40) and 'Name' (TX15) for the monitoring list header on (COS040/E) and press Enter.
  4. Highlight the new monitoring list header and select related option 11-'Monit Lst Lines for Maint Agr. Open' to get to (COS041).
  5. Add 'Monitoring list' (AMON) and 'Transaction reason' (RSCD) and click 'New'. You can add 'Monitoring lead time' (FDAY), but it is not mandatory.
  6. On (COS041/E), you can specify 'Remark' (REMK), 'Date code' (DTCD), 'Description' (TX40), 'Name' (TX15), and 'Responsible' (RESP) and press Enter. The fields specified here are defaulted to the monitoring list activity in (COS432) when auto created when adding or copying an agreement with the correct setup.
Follow these steps to connect a monitoring list header (COS040) to an agreement type (COS405):
  1. Start (COS405), add a new agreement type or highlight an existing agreement type, and click 'Add/Change'.
  2. On (COS405/E), select the desired monitoring list header in the 'Monitoring list' (AMON) field and press Enter.
Follow these steps to add a new agreement (COS410) and automatically retrieve monitoring list activities (COS041) from the monitoring list (COS040) connected to the agreement type (COS405):
  1. Start (COS410) and add a new agreement. Before pressing 'New', select an agreement type that has a monitoring list with lines added to it.
  2. Add all the agreement information and get back to (COS410/B). Mark the newly created agreement and click related option 28-'Maintenance Agreement. Monitor' to get to (COS432).
  3. In the (COS432) view, all the agreement activities are added automatically.
  4. If you want to change the agreement activity added automatically, highlight the agreement activity on (COS432/B) and click 'Change'.
Follow these steps to copy an agreement (COS410) and automatically retrieve monitoring list activities (COS041) from the monitoring list (COS040) connected to the agreement type (COS405):
  1. Start (COS410) and copy an existing agreement. Before pressing 'Copy', copy an agreement with an agreement type that has a monitoring list with lines added to it. Note that the monitoring list lines (COS432) from the copied agreement are not copied to the new agreement, instead the copied agreement gets the agreement activities from the monitoring list header or lines on the copied agreement type.
  2. Add all the agreement data and get back to (COS410/B). Mark the newly copied agreement and click related option 28-'Maintenance Agreement. Monitor' to get to (COS432).
  3. In the (COS432) view, all the agreement activities are added automatically.
  4. If you want to change the agreement activity added during copying, highlight the agreement activity on (COS432/B) and click 'Change'.
Follow these steps to automatically add monitoring list activities from a monitoring list to an agreement in (COS432):
  1. Start (COS410) and select related option 28-'Maintenance Agreement. Monitor' to get to (COS432) or open (COS432) as a standalone program.
  2. To automatically add monitoring list activities (COS041) connected to a monitoring list (COS040), specify the agreement number ((COS432), use sorting order 1) and click action F15='Generate agreement monitoring list' to open (COS432/M).
  3. On (COS432/M), add the desired monitoring list and press Enter.
  4. The monitoring list activities from the monitoring list are automatically added to the agreement and displayed on (COS432/B).
Follow these steps to manually 'Add' or 'Change' monitoring list activities to an agreement in (COS432):
  1. Start (COS410) and select related option 28-'Maintenance Agreement. Monitor' to get to (COS432) or open (COS432) as a standalone program.
  2. To add a new monitoring list activity manually, specify an agreement number and click 'New'.
  3. On (COS432/E), 'Add' these fields:
    • Monitoring list (AMON): The field is added automatically when agreement activities are created from an agreement type. Not changeable when the agreement activity is added manually from (COS432).
    • Date code (DTCD): The field indicates the date to use when calculating the 'Monitoring date' (FUDX). 0 = no date calculation is done of monitoring date, 1 = monitoring date is calculated with 'Start date' (STDT) as a starting point, or 2 = monitoring date is calculated with agreement 'To date' (TODT) as a starting point.
    • Monitoring performed (FUPF): The field indicates if the monitoring list activity is performed or not.
    • Monitoring lead time (FDAY): The field indicates the monitoring lead time, expressed in days, and is used as one of the parameters to calculate the monitoring date. The monitoring date is calculated based on the agreement 'Start date' (STDT) or agreement valid 'To date' (TODT) (determined by the date code), plus or minus the monitoring lead time.

      With this setup, you can calculate the 'Monitoring date' (FUDX) forwards or backwards compared to the agreement start or valid 'To date'.

    • Monitoring date (FUDX): The field indicates the date for which the agreement activity is to be performed. If 'Date code' (DTCD) is set to 0, you can specify this date manually. If the 'Date code' (DTCD) is set to 1 or 2, this date is always calculated.
    • Transaction reason (RSCD): The field indicates the user-defined reason code (CRS103) that is used to classify the agreement activity. This is the only mandatory field on (COS432/E).
    • Remark (REMK): The field indicates any comments or additional information that the users have provided..
    • Description (TX40): The field indicates the agreement activity description.
    • Name (TX15): The field indicates the agreement activity name.
    • Responsible (RESP): The field indicates the agreement activity responsible.
Follow these steps to copy or delete a monitoring list activity in (COS432):
  1. To copy:
    • Highlight the agreement activity to copy and click 'Copy' to get to (COS432/C).
    • Since every new line is unique by its 'Activity sequence number' (SQNM), the 'Copy from' and 'Copy to' fields can be the same.
    • When you specify the fields on (COS432/C), press Enter to get to (COS432/E) and update it in the same way as described above.
  2. To delete:
    • Highlight the agreement activity to delete and press Delete to get to (COS432/D).
    • On (COS432/D), press Enter to confirm the deletion.
